An exciting opportunity has arisen for a Secretary within Finance and Corporate Resources, supporting the Head of Finance (Transactions) Services and the Head of Administration and Legal Services.
You will be required to provide a confidential and comprehensive administrative, secretarial and liaison service including undertaking specialist highly complex administration duties.
Applicants should have excellent IT skills and be able to demonstrate sound communication and interpersonal skills, along with the ability to deal with matters in a discreet and confidential manner and should be competent at planning and organising.
Duties will include:
* Maintain, update, and provide confidential management information.
Produce a range of documents, reports, and correspondence from various sources.
Schedule, arrange and organise meetings, travel, accommodation, and hospitality to effectively manage senior manager’s time.
Liaise with a wide range of agencies, Elected Members, Chief Officials, Council Departments, public bodies ensuring that deadlines are met.
Prepare and where necessary circulate reports, papers and correspondence identifying priorities ensuring that deadlines are met.
Assist the Head of Service with time management including the maintenance of an appointment diary and the arrangement of meetings, functions, and appointments.
Undertake the final drafting of appropriate papers and provide a full secretarial and administrative service to the Head of Service.
Maintain filing systems/records and database etc and organise stationery and hospitality supplies.

What is your understanding of the ability to exercise discretion and to deal with confidential issues in the appropriate manner.
