This is an administrative job in an establishment.
Summary�� �
The job holder will provide administrative support to the Substance Misuse Intervention / Detox programmes within specified timescales for the establishment.
This is a non-operational job with no line management responsibilities. This role is rotational.
Responsibilities, Activities and Duties � �
The job holder will be required to carry out the following responsibilities, activities and duties:
1. Co-ordinates the department diary and organise substance intervention programmes and appointments
2. Process referrals and ensure they are ready for key worker allocation within specified timescales
3. Organise and produce group work notifications on a daily basis
4. Liaise with internal departments to process information for placing prisoners onto interventions programmes and inform wing staff of drug programme clients
5. Prepare notifications of prisoners attending drug intervention programmes and inform Observation Categorisation Allocation (OCA) and Healthcare, in order to prevent transfers to other establishments before the end of the programme.
Undertake other administrative tasks including:
6. Organise, produce and maintain accurate records for area of work
7. Act as contact point for all communications to the team. Prioritise and distribute communications to the appropriate person or relevant department in establishment
8. Complete monitoring returns for area of work
9. Input requisitions on to the finance database and process requisitions for defined area of work
10. Co-ordinate any awareness sessions for area of work
11. Prepare paperwork for checking by manager, conducting initial checks as required
12. Correspond with relevant stakeholders and agencies to ensure that they are aware of information so that information is adequately shared
13. Maintain and check establishment databases, manual filing systems and logs of information, responding within agreed timescales and producing reports as required
14. Collate information relating to relevant Service Delivery Indicators (SDIs)
15. Act as secretary to meetings as required including organising agenda, taking and distributing minutes and action points
