Purpose of the job:
Reporting to the Director of Private Wealth, the role holder will be responsible for providing PA and administrative support to ensure the Directors working week is efficiently organised.
The post holder will be required to work on a wide variety of PA duties and will be able to prioritise multiple tasks and effectively manage a varied workload.
A key part of this role is to provide support to Private Wealth events working with other event planners.
Job summary:
PA support:
* Diary management including arranging meetings with internal and external individuals and booking meeting rooms/venues when required.
* Fielding calls and passing important messages in a timely fashion.
* General administration.
* Report coordination, action log updates and chasing of actions.
* Preparation of letters, e-mails and PowerPoint slides.
* Creating spreadsheets/tables in excel/word.
* Making travel and hotel arrangements.
* Various other PA tasks.
Events:
* Provide administrative support to the Executive PA for all Private Wealth events such as the Award winners dinner. Help to make sure everything has been prepared/organised and that these run smoothly on the day.
* Sending out invites and coordinating responses.
* Preparing PowerPoint presentations for these events.
* All event administration, e.g. name badges, table plans, beverages, dietary requirements.
* On-site assistance before, during and after the events as and when required.
* Tracking/maintaining attendance lists for all events.
* Collating feedback following an event.
