Job Summary
Wolston Surgery is looking for an experienced and enthusiastic Receptionist/Dispensers to join our very friendly and busy team.
Hours: 28 - Monday 08:30 - 16:30, Wednesday 08:30 - 14:00, Thursday 08:30-18:30, Friday 08:30 - 14:00
To contribute to the effective and efficient running of the surgery, providing an excellent service to our patients, and to be compassionate and able to help patients in a calm and courteous manner.
To deal with all general enquiries and signpost as necessary. Receive and make calls, book appointments as needed, liaise with other healthcare professionals, and complete a variety of admin duties.
Dispense medication within a team of dispensers; you will need to be focused at all times, be self-motivated, and have good problem-solving skills.
Support all clinical staff with general tasks as requested. Maintain a clean, tidy, effective working area at all times. Flexibility is crucial as you will be required to cover sickness and holidays.
Main Duties of the Job
Reception Duties:
1. Maintaining and monitoring the practice appointment system.
2. Process personal, telephone and e-requests for appointments.
3. Answer incoming phone calls, transferring calls or dealing with the caller's request appropriately.
4. Action incoming emails.
5. Process incoming and outgoing mail.
6. Initiating contact with and responding to requests from patients, team members, and external agencies.
7. Dealing with repeat prescriptions ensuring they are processed accurately and efficiently.
8. Action electronic referral service (ERS).
9. Action GP2GP tasks.
10. Registering new patients.
11. Input data.
12. Scanning and filing.
13. Manage all queries (including administrative queries) as necessary in an efficient manner.
14. Monitor and maintain the reception area and notice boards.
Dispensary Duties:
1. To be responsible for checking all medicines dispensed, ensuring there are no discrepancies.
2. Dispensing medicines safely and accurately.
3. Collecting prescription charges in accordance with dispensary protocol.
4. Maintaining stock levels within the dispensary, liaising with the dispensary manager to facilitate reordering.
5. Ensuring controlled drugs are dispensed in accordance with practice policies.
6. Safe disposal of returned and/or out-of-date medicines.
7. Process prescription requests via email, phone, fax, face-to-face and online.
8. Processing Dossette boxes.
9. Maintaining a clean and safe working environment at all times.
10. Maintain accurate records at all times, read coding entries appropriately.

Wolston Surgery is a rural Dispensing GP Training Practice with 4500 patients. Our ethos is one of compassion and with the patient at the centre of care.
We have a small friendly reception/dispensary team who work across both areas.
