Located in the heart of Manchester, The Bridgewater Hall is a distinguished cultural venue hosting over 300 performances annually, ranging from classical music and rock to pop, spoken word events, and a dynamic learning program. Our iconic building also serves as a premier location for conferences, meetings, and various other events.
About the Role:
We are looking for a highly motivated Office Administrator to provide administrative and secretarial support to our Chief Executive Officer and administrative support for the Bridgewater Hall. This is an integral role for our business as you will be lots of things to lots of colleagues and a huge support to ensure the smooth running of The Hall.
No two days will be the same and you will lots of exciting things to be involved in including ; managing the CEO’s diary, handling and resolving customer complaints, attending, organise and service meetings as for the Hall’s various internal/external partners and patrons plus collating reports, meeting papers, taking minutes, and following up on actions.

Your Responsibilities:
* The provision of confidential, efficient and effective high-level administration support at all times to the CEO and senior management team, taking a proactive approach to ensure that all tasks are completed to the highest standard
* Proactive diary management for the CEO, prioritising appointments and managing the CEO’s time to best effect, arranging travel and accommodation where required
* Liaising with senior staff both within and outside of the business
* Attend, organise and service meetings as for the Hall’s various internal and external bodies planning agendas, collating meeting papers, taking minutes, and following up on actions
* Managing the Hall's Customer Concerns procedure by liaising with colleagues, responding to enquiries and using the Tessitura CRM system to track correspondence
* The management of the Bridgewater Hall's record keeping and archive, both physical and digital
* Process and oversee expenses, ensuring all expenditure is justified prior to submitting for approval.
* Raising and processing purchase orders, invoices.
* Maintaining appropriate filing regimes, and monitoring and reporting systems, and carrying out other administrative duties
* Managing the provision of office equipment and monitoring the budget
* Management of the Hall’s confidential waste function
* Supervision of the Hall’s Post Function
* Arranging security passes for all staff
Key Skills and Experience:
* Demonstrable experience of working in an administrator role - Essential
* Previous administrative experience working in the performing arts venue or a background (desirable but not mandatory)
* Proven track record in a customer service environment
* Demonstrated secretarial, administrative and organisational skills
* Excellent computer skills including, Outlook, Word and Excel
* Excellent communication and interpersonal skills with the experience of dealing confidently and professionally with senior staff from both inside and outside of the organisation
* Highly developed written communication skills
* Ability to work under pressure and meet deadlines
* Ability to work well within a team environment building and sustaining good working relationships
