Who We Are
The OutHouse is a registered charity based in Colchester, Essex, who proudly support the lesbian, gay, bisexual, transgender, queer and questioning (LGBTQ+) community to feel seen, included and understood.
We offer 1:1 support, counselling, group support, social events, advocacy, and awareness training with local organisations.
Our purpose is to provide and advocate for safe and inclusive spaces for everyone form the LBGTQ+ community.
Supporting The CEO
We have recently appointed a new Chief Executive who is responsible for setting our new vision in partnership with the Board of Trustees and delivering the strategy.
Our Chief Executive (CEO) has overall responsibility for managing and overseeing the strategic direction of The OutHouse, day-to-day performance, staff output, fundraising, marketing, governance and compliance.
The OutHouse is currently in an exciting period of development as we look to implement our new strategy for the coming years. In December 2024 we will turn 45-years-old as an organisation, so this is an exciting time as we look to the future and what we want to achieve for the local LGBTQ+ community.
Job Summary
We are seeking a proactive and detail-orientedPersonal Assistant(PA) to support the CEO over this interim period of change. As PA to the CEO, you will carry out administrative work on behalf of the CEO to free up time from administrative duties so that they can spend maximum time on strategic tasks.
Previous experience working within the charity sector, particularly in roles related to supporting the LGBTQ+ community or other marginalised groups is desirable.
Person Specification
You will have at least two years previous experience within a personal assistant role. We will also consider those with broader business acumen looking for a career change.
Your Key Responsibilities
* Acting as a first point of contact for callers, dealing with emails and phone calls by responding, passing on messages or highlighting them for the CEO’s attention.
* Managing diaries and organising meetings and appointments.
* Reminding the CEO of important tasks and deadlines.
* Typing, compiling and preparing reports, presentations and correspondence.
* Managing databases and filing systems to create efficiencies.
* Implementing and maintaining procedures and administrative systems.
* Supporting the organisation of key events and conferences.
* Liaising with staff, suppliers and clients.
* Coordinating staff coverage of the community centre.
* Booking and arranging travel, transport and accommodation.
* Collating and filing expenses.
* Completing some corporate governance reporting (to ensure that the business is being run properly and complying with legislation and regulations).
* Compiling research reports.
* Additional miscellaneous tasks to support the CEO.
Skills, Abilities and Knowledge:
* Excellent attention to detail.
* Excellent organisation and people management skills.
* Excellent verbal and written communication skills.
* Organisational skills and the ability to multi-task.
* A knowledge of standard software packages, including Outlook, MS Teams and CRM systems, with the ability to learn company-specific software as required.
* Ability to prioritise and multitask efficiently.
* Strong communication skills.
* Working knowledge of standard word processing, spreadsheet and other productivity software tools.
* Discretion and tact.
* Knowledge of issues relating to the LGBTQ+ community are preferable.
