As an Administrator, you will provide comprehensive, high-quality support to the Pain Rehabilitation Team ensuring an effective and efficient service is delivered.
There is a need to work flexibly between sites or be co-located with the Pain Rehabilitation Clinical Team.
You will act as the admin lead for the short courses offered by the team, following and updating the standard operating procedure, and liaising with the clinical team in a timely manner. Working with very little supervision, prioritising and managing your own workload on a day-to-day basis.
You will be supporting the Admin Team Leader to undertake change management and ensure that patients are treated with courtesy, dignity, and respect.
Main duties of the job
* Work closely with all grades of clinical and administrative staff, along with other employees within the Trust.
* Act as the admin lead for the short courses following the standard operating procedure, and liaise with the clinical team in a timely manner.
* Assist in updating the ReConnect2Life calendar ensuring leave, meetings, and short courses are all correctly recorded.
* This position requires empathy and tact when dealing with patients that may be angry or upset regarding any aspect of their care.
* Communicate effectively in writing and verbally.
* Ensure all requests for further information are completed effectively, and undertake appropriate action as instructed.
* Independently deal with telephone calls and enquiries in an efficient, sensitive, and confidential manner.
* Record all clinic outcomes accurately.
* Use discretion and initiative when arranging meetings/appointments for patients, relatives, and others.
* Take and transcribe formal minutes if required.
* Open and act on correspondence received and bring to the attention of the team as required.
* Undertake a variety of office duties such as filing, opening and distributing post, photocopying, and moving and lifting of patient notes to ensure efficient and effective support to the department.
* Contribute to producing and updating the Standard Operating Procedures (SOP) for all aspects of the administrative pathway that supports the Pain Rehabilitation Team.

The Chronic Pain Admin Team is a small team consisting of an Admin Team Leader, Medical Secretary, PRT Administrator, and Secretarial Assistants, offering a professional secretarial service to the clinical team.

Person Specification
* Good standard of education to include GCSE Maths and English.
* Typing qualification to RSA Stage 11/OCR 11 or equivalent level of speed and accuracy.
* Experience of audio typing.
* Experience of using Excel spreadsheets.
* Proven administrative/organisational experience.
* Medical Terminology qualification or experience.
* Ability to use Microsoft Office software (Word, Excel, PowerPoint).
* NVQ Level 3 or equivalent.
* Knowledge and experience of the Trust's information and software systems.
* Understanding of hospital policies and procedures.
* Understanding of Referral to Treatment pathways.
