Our client is based on the outskirts of Cambridge near Bar Hill. They specialize in the collection of Scientific research to deliver high quality professional services and add value to clients' businesses by providing them with sustainable solutions. You must be able to drive due to the location.
The role is a full-time office position for an initial probationary period with the possibility to go hybrid after that, where you would be working a minimum of three days per week in the office.
Purpose of the Role:
To provide a range of financial and project administration support for Project Managers and assist with the improvement of business processes and the application of financial controls for projects on their system called Focal point. Training will of course be provided.
Tasks involved in this role:
1. Assist Project Managers to maintain accurate project data, provide quality control, advice and guidance for Project Managers on the upkeep of their project data, processing project data amendments and providing project administration support.
2. Assist Project Managers to register new tenders and projects and provide quality control of the documentation provided by the client.
3. Provide financial and project administration support for Project Managers to assist with forecast monitoring and to improve project profitability.
4. Raise and issue sales invoices to clients, checking that invoices are issued correctly including complex multi-currency projects and chasing up Project Managers on overdue and due invoices ensuring as many invoices are issued as possible prior to the monthly deadline.
5. Provide financial support to Projects Managers by collating project data/reports.
6. Co-ordinate the monthly matching process and monitor the monthly costs on projects, ensuring the projects with the largest variances are queried and matched monthly.
7. Highlight any concerns with respect to project data.
8. Assist with the improvement of business processes and the application of financial controls for all projects on the financial system.
9. Other duties as requested by managers appropriate to the post include, but are not limited to general office duties, providing cover for general administrator, ordering office supplies and health and safety.
Skills & Experience required for the role:
1. Knowledge and experience of, and confidence in, working with business management information systems.
2. Good data accuracy and attention to detail with a good level of numeracy and IT skills.
3. High-level keyboard and computing skills using MS Word, Excel and Access.
4. Well organised and efficient with confident and professional communication skills.
5. Ability to work flexibly as part of a team.
6. Self-motivated and capable of working without supervision.
7. Capable of working under pressure and prioritising workload to meet tight deadlines.
8. An appreciation of business needs and the need for control and profit.
9. Previous internal purchasing/project administration experience would be desirable.
Hours:
Normal hours of work are 40 per week. Normal office hours are 8:30 a.m. to 5:00 p.m. Monday to Friday.
