Main Duties of the Job
Location: Across sites, both Isle of Wight NHS Trust and Portsmouth Hospitals University Trust (frequency of visits to each site to be agreed locally).
Hours: Full time: 37.5 hours per week.
Contract Type: Permanent.
Are you a highly organised, customer-focused individual with a keen eye for detail? Join our Estates and Facilities Team as a Travel, Transport, and Car Parking Administration Assistant and play a vital role in ensuring the smooth operation of our staff car parking scheme.
You will act as the first point of contact for car parking enquiries, ensuring a timely and customer-focused service. You will manage the staff car parking database, oversee payroll deductions, and conduct periodic audits of car park usage to ensure compliance with Trust policies. Additionally, you will actively contribute to the wider travel and transport agenda, assisting in the development of initiatives that support sustainable and efficient travel for staff.

Key Responsibilities:
1. Act as the first point of contact for all staff car parking enquiries, providing excellent customer service.
2. Manage and maintain the staff car parking database and ensure accurate records.
3. Process payroll instructions related to car parking deductions and liaise with external payroll providers.
4. Conduct occasional audits of car parks, issuing warning letters and addressing non-compliance with parking policies.
5. Assist in reviewing and updating Trust car parking policies, providing suggestions for improvement.
6. Coordinate the renewal of staff car parking permits, including liaising with temporary staff during busy periods.
7. Raise invoices for external organisations funding car parking for their staff.
8. Support general office administration tasks, including correspondence, report creation, and maintaining office supplies.
9. Actively contribute to the development and implementation of travel and transport initiatives, promoting sustainable travel options where possible.
10. Support Trust sustainability and climate change initiatives.
Person Specification
Qualifications
* NVQ 3 in an appropriate discipline or equivalent experience.
* Educated to GCSE level (or equivalent).
Experience
* IT experience preferably in the use of Microsoft Office.
* Experience working in a public sector or voluntary sector organisation.
* Experience of appropriately dealing with confidential and sensitive information.
Skills and Knowledge
* Strong organisational, time management, and interpersonal skills.
* Ability to handle sensitive and confidential information with discretion.
* Excellent written and verbal communication skills.
* Knowledge of car parking management systems.
