Ian Gibbs Estate Management Ltd is a well-respected and established property management company based in Enfield. We deal with the service charge management of blocks of residential flats. Fire Safety (England) Regulations 2022 introduced new duties under the Fire Safety Order for building owners and managers to undertake and adhere to. We have a new opportunity for a proactive and efficient Health & Safety Coordinator to join our friendly team. This is an essential role working with the Health & Safety Manager to assist the Property Managers with coordinating health and safety across the company’s portfolio of buildings, plus taking the lead as the project manager on an important element of Health & Safety - fire doors.
We are looking for someone with a can-do attitude, a high level of organisation and great communication skills. Full training will be provided, so you will need to be keen to learn.
Location: Windmill Hill, Enfield, with an opportunity of hybrid working on completion of training
Salary: £30,000 - £32,000 per annum, depending on experience
Benefits: 22 days annual leave plus bank holidays, pension, employee assistance programme.
Hours: 40 hours per week, Monday – Friday, 9.30am-5.30pm (flexible hours available e.g. 8am-4pm)
Contract: 1-year fixed term, with the possibility of becoming permanent
The successful candidate will:
1. Assist the Health & Safety Manager and Property Managers in all health & safety aspects of maintaining residential blocks of flats.
2. Ensure that company policies and procedures are consistently applied to required standards.
3. Daily liaison with tenants, landlords and contractors, providing a high level of customer service and politeness when dealing with questions, complaints and updates.
4. Instruct and manage contractors in relation to fire door project/programme.
5. Track queries, making sure replies are received in a timely fashion in order to resolve the issue/query, follow up, taking responsibility for ensuring it gets resolved.
6. Liaise with H&S Consultants and Property Managers to arrange appointments to attend site.
7. Liaise with Property Managers to ensure keys/codes/permits are correct before sending them to the H&S Consultant.
8. Arrange for keys/code information to be sent in good time for the H&S visits.
9. Liaise with H&S Consultants & Property Managers to send all relevant site reports they request before and after their visit to help assist with producing final report.
10. Access and navigate H&S portal.
11. Notify Property Managers and H&S Manager when the reports have arrived so they can action any points raised.
12. Undertake general administrative tasks in relation to filing of health & safety certificates, reports, emails, database updates and record keeping.
13. Occasionally be required to visit residential development sites or to attend meetings and conferences with H&S Manager.
Key experience, skills & attributes required for the role:
1. Experience of working in property would be an advantage, particularly property management/maintenance.
2. An understanding of the importance of health and safety and fire regulations.
3. Organised and methodical.
4. Eye for detail and accuracy, ability to read/scan a document and pick out and understand important detail.
5. Ability to understand tasks end to end (the bigger picture) to ensure effective resolution and knowing when to question/challenge to seek clarity from another source (senior management, industry expert, contractor etc).
6. Act openly and honestly.
7. Show professionalism and loyalty to the company at all times.
