About the Role: As a CBRE Post Room/Workplace Support, you will be responsible for all Post Room duties and delivering a world-class customer service experience to employees and guests of a designated building.
What You'll Do:
* Coordinate all mail handling operations within the site, including receiving, sorting, and distributing all incoming and internal mail and dispatching all outgoing mail.
* Ensure collection, receipt, and onward delivery of recorded and registered mail and other couriered items as appropriate.
* Send out emails to inform owners of the arrival of parcels/mail for collection from the Post room.
* Daily management of the retained partners service, including queries and support.
* Coordinate delivery and collection of parcels, packages, goods, and other miscellaneous items to and from multiple site locations, including recording such items for future use, disposal, and/or safe storage.
* Track post and parcels and ensure records are kept up to date.
* Liaise with sub-contractors to book courier services.
* Collect confirmation of delivery/receipt of such goods in accordance with written instructions.
* Arrange the recycling of printer/toner cartridges/batteries for recycling.
* The WS is to raise WebQuotes as directed by the WSL - the WebQuotes for Posturite, stationary, and ad hoc works are within the remit of the WS. The WS should add all WebQuotes raised to the PO Tracker.
* The WS is to cover any tasks within the remit of the AWSL and where directed by the WSL. In the absence of the AWSL, the WS assists in covering tasks within their remit.
* The WS is to take responsibility for the post room, ensuring that all tasks related to the post room are completed in a timely fashion. The WS is to ensure that priority tasks are completed promptly to ensure the operational efficiency of post room operations, urgent courier deliveries, and general deliveries. The WS is to take responsibility for the Posturite folder and Tracker, ensuring that both are kept up to date. The WS is to ensure that all post room trackers are kept up to date, with all relevant information included in the spreadsheets.
* Ensure that all relevant CBRE & Three training is undertaken within the specified timeline. Undertake the IOSH qualification with a view to progressing to NEBOSH. Research and recommend additional training with the line manager that pertains to your personal development.
* Provide outstanding customer service to the occupants of the property, ensuring that CBRE's Rise Values are evident in your daily interactions.
* Where required, the WS is to complete invoicing related to Kelly Storage, complete the spreadsheet template, raise work order, and provide it to the service provider each month.
* Liaise with the cleaning service provider at the start of each month to confirm the order required - place an order for sanitary products - enter order information into the relevant spreadsheet, and add the PO to the PO Tracker.
* The WS should send notifications out on the app as instructed related to building and business issues.
