About the Role
As the Manager, you will play a pivotal role in supporting the day-to-day management of TWW and Referrals bookings.
This role is an excellent opportunity for a motivated individual to strengthen their leadership skills.
Main Duties of the Job
To take lead responsibility for the Inpatient Booking and RTT validation Services within Patient Access Services across the Trust, keeping informed of policy and technical developments in patient choice and booking processes.
The post holder is expected to liaise and engage with Operational General Managers, Departmental Managers, and Clinical Staff to ensure that service level agreement activity levels and quality standards are maintained for all aspects of Inpatient bookings and RTT across the trust.
Job Responsibilities
Key Result Areas:
Principle Duties will include:
Communication and Reporting:
1. Provide regular and ad hoc reports on RTT or Inpatient activity to the corporate Patient Access Meeting.
2. Foster good working relationships with other departments/agencies within and outside the Trust, ensuring that all stakeholders understand, respect, and recognize operational policies.
3. Attend appropriate meetings ensuring that essential information is cascaded to staff and that staff concerns are relayed appropriately.
4. Liaise with General Managers and specialties regarding their inpatient activity, highlighting and escalating any issues as well as providing advice and support.
5. Provide expert guidance and advice to staff, health professionals, clinicians, and GP practices.
6. Attend Best Practice Groups and various other stakeholder groups for quality and improvement of Patient Access Services.
7. Ensure daily Synertec reports are managed and resolved.
8. Provide Trust-wide training in both formal and informal settings.
Elective Admission Management and Booking:
1. Assist in monitoring and authorizing theatre session setup, cancellations, and rescheduling, highlighting to General Managers where this may adversely affect the service and patients.
2. Deal with enquiries/requests/complaints from members of the public.
3. Respond to correspondence received from patients, consultants, clinicians, and general practitioners.
RTT Validation:
1. Ensure all RTT validation reports are completed each month, including open pathways and data quality reports.
2. Assist in the training and development of RTT validation throughout the trust.
3. Provide RTT guidance to staff, health professionals, and clinicians.
4. Liaise with CCG regularly regarding the RTT long waiters for the trust as well as any other ad-hoc information required.
5. Liaise closely with the Information Manager to ensure accurate data quality and information within the department.
6. Monitor and validate Inpatient Waiting Lists and Patient Target Listing ensuring patients are regularly validated to ensure the waiting lists are accurate and up to date.
7. Ensure patients are kept up to date with their admission and waiting times, including any correspondence.
8. Regularly liaise with the data quality manager regarding RTT reports and data quality management of RTT within the trust.
9. Monitor call handling and ensure staff are logging in and calls are answered within KPIs.
10. Regularly review patient feedback reports to ensure continuous improvement of the Inpatient services and RTT waiting times, liaising with General Managers where appropriate.
Management and Leadership:
1. Day-to-day line management of teams within the department.
2. Provide effective leadership within the department.
3. Optimize the use of resources and ensure staff effectively and efficiently use stationery.
4. Act as a budget holder and order stock.
5. Maximize the potential of the team, undertaking Personal Development Reviews and ensuring developmental plans are in place.
6. Ensure Mandatory training is up to date across the Outpatient and Reception teams.
7. Manage sickness absence and attendance across the Outpatient and Reception teams.
8. Achieve appropriate staffing levels ensuring that staff leave is evenly distributed and staff sickness is managed in accordance with Trust Policies and procedures.
9. Assist in selection and recruitment of staff, ensuring induction programmes are in place for all grades of new staff.
10. Maintain service delivery at Service level agreement activity levels and quality standards, ensuring compliance with health and safety standards.
11. Investigate and take corrective actions relating to untoward incidents, accidents, and complaints in accordance with Trust Policies and Procedures.
12. Support the Departmental Manager with disciplinary cases, investigating issues/concerns and taking management actions as necessary.

Ensure all staff adhere to Trust Policies and Procedures at all times, including compliance with all Health and Safety Policies and the Data Protection Act 1998.
Person Specification
Qualifications
* Educated to degree level or equivalent experience.
* Experience and knowledge of NHS E-RS.
* Computer literacy to ECDL or equivalent License.
* Project management qualification or equivalent knowledge and skills.
* E-RS Train the Trainer qualification.
Experience
* Experience and knowledge in Clinic Management.
Skills
* Experience in supervising/managing teams.
* Experience of working within the NHS.
* IT skills including Excel, Word, and PowerPoint.
* Good working knowledge of electronic Patient Administration Systems (Lorenzo).
