SERVPRO of Coffee, Franklin and Warren County is currently hiring! If you are the type of person who likes to help others, then the Reconstruction Coordinator position is for you.
Summary The Reconstruction Coordinator plays a pivotal role in facilitating efficient office operations and ensuring seamless communication with customers, stakeholders, and team members. This position involves diverse responsibilities, ranging from scheduling and customer service to financial administration, compliance documentation, and HR support. This role is a dual role that shares responsibilities with both the mitigation and reconstruction sides of the office.
Primary Responsibilities
Office Duties:
* Create preliminary estimates
* Maintain estimates for active jobs
* Finalize estimates to ready for invoice
* Intake call leads and update records
* Follow up on pending call list
* Pre-Screen Applicants
* Run Background Checks
* Monitor job file status to ensure accuracy in all job file documentation daily.
* Maintain and ensure all client requirements are followed.
* Oversee job file documentation, communications, and subcontractor activities
* Maintain compliance with National Accounts Program Agreement (NAPA) and Third-Party Programs-Audits
* Assist with Trainings
Recon Duties:
* Assist in answering customer questions regarding pending and/or active jobs
* Assist in coordinating customer scheduling with Recon Coordinator
* Begin, add to, or adjust Reconstruction Estimates
* Assist in keeping jobs and jobs notes up to date in WIP
* Assist in keeping documentation up to date in job files
* Reach out to potential subcontractors
* Maintain compliance with Recon Accounts Program Agreement (RAPA) and Third-Party Programs-Audits
* Assist with ordering materials
* Assist with Trainings
* Make sure Subcontractor information is accurate and up to date
Education and Experience Requirements
* High school diploma or equivalent required
* Proven experience in administrative roles, preferably in a fast-paced office environment
* Familiarity with basic accounting principles, bookkeeping, and financial reporting
* Proficiency in computer applications and ability to adapt to new software applications
* Excellent communication, organizational, and multitasking skills
* Attention to detail and problem-solving skills
Normal Working Hours, Additional Working Hours, and Travel Requirements
This is a full-time position, Monday–Friday, 40 hours per week typically.
