Soak&Sleep is a leading online retailer of premium bedding and bath linens. Renowned in the sector for its high-quality products, great customer service and fair pricing it has become the go to brand for bedding that provides comfort and a night of relaxing, refreshing sleep.
Role:
Working with the B&M team, support weekly trading preparation, seasonal planning, stock purchasing and intake. Sets up and maintains administration systems to document and manage the processes accurately. Takes lead responsibility for the purchase order (PO) cycle with the supply base, reporting back via the Delivery Schedule.
Responsibilities:
● Assists in the preparation of the weekly trading pack: to include Sales and Margin; Intake; Stock; Out of Stock (OOS); Back Order and Availability analysis. Attends Trade meetings.
● Manages all aspects and touch points of the intake process, from PO to warehouse.
● Evaluates shipment suggestions from freight forwarders and facilitates vessel bookings to maintain an appropriate shipment schedule.
● Attends weekly Cash Flow OTB meeting and presents the Shipment Schedule bi-weekly.
● Supports the team in raising POs in response to business requirements, ensuring accuracy in buy volumes, carton quantities, CBM and cost prices.
● Maintains accurate records, oversees weekly CSV transfer, distributes PO's, resolves queries and obtains shipping documents in a timely manner.
● Maintains the delivery schedule.
● Communicates weekly intake both internally and to the warehouse. Flag delivery issues and ensure a conclusion is reached to all issues. Finally, manages the process to receipt and close PO's.
● On an ad hoc basis, reviews department forward covers, making recommendations to ensure OOS and over-stocks are minimised, and availability targets are met.
● Takes ownership for the backorders to enable report, updates NetSuite and consults with the Online Merchandising team to ensure Magento is updated. Undertakes system checks to ensure all SKUs are enabled on the website.
● Creates and issues weekly Back Order Report, highlighting oversells and risk lines.
● Liaise with Finance and suppliers to ensure all relevant paperwork is received and filed to achieve payment on time. Updates weekly Cash Flow and Creates the weekly payments list in line with the payments process.
● Builds and maintains strong working relationships with Soak&Sleep colleagues, direct suppliers, warehousing, and shipping partners to optimise the supply chain.
● Supports the wider B&M team during peak trading periods and annual leave.
● Undertakes ad hoc reporting and analysis, plus other projects as required.
Experience
● 1 years’ experience of a retail organisation within a store or head office.
● Experience working in an eCommerce retail business would be beneficial.
● A relevant degree or business-related qualification ideal, but not essential.
Skills
● Extremely well organised
● Strong attention to detail
● Numerate with good Excel skills and ability to analyse data at an intermediary level
● Self-motivated, with ability to work as part of a team
Accountability
● Timely and accurate delivery of Trading and ad hoc reporting
● Timely and accurate management of the Delivery Schedule, including communication with suppliers, and collation of paperwork for payments
● Timely and accurate issue of both Purchase Orders and recording receipt of confirmations from direct suppliers
● Understands and conducts self in line with Brand values
● Completes and holds self-accountable for maintaining knowledge of Sleep Ambassador Training
