An exciting opportunity has arisen for an experienced secretary to join our friendly and professional team as a full time Senior Medical Secretary, working 35 hours per week, within the Trauma & Orthopaedic Department. The successful candidate will work alongside the existing secretarial team to provide comprehensive and efficient typing and administration support.

Main duties of the job
The role will include responsibility for Consultant and supporting team diary management, typing of clinical documentation and other correspondence to GPs and other clinical professionals. Dealing with enquiries from clinicians, GPs, other hospitals, patients and their relatives, updating medical records and inputting data to ensure a high standard of data quality. Supporting the team in the attainment of Divisional targets. In addition, the post holder will be required to support the Directorate Management Team with the tracking and validation of patient pathways to achieve the National targets. To uphold the trust values, charters, policies and procedures.

1. To undertake medical audio typing duties along with taking the initiative in creating additional documentation to ensure accurate recordkeeping and appropriate action taking.
2. Dealing with outpatient appointment requests, results letters to GPs, discharge summaries and other official medical correspondence.
3. Take enquiries from clinicians, GPs, health services, patients and their relatives and action as appropriate, contacting the relevant clinical support as required.
4. To accept telephone and email enquiries from clinicians, GPs, health service and social services personnel as well as from other hospitals, voluntary agencies, patients and their relatives.
5. To work using own initiative with minimal supervision, prioritising own workload in line with the objectives of the department and consultant teams.
6. To deal with all incoming correspondence by phone, post and email in an efficient and effective way.
7. To liaise with the other members of the secretarial/administration team in order to provide a coordinated, supportive and efficient secretarial service.
8. To communicate with patients, relatives and staff demonstrating sensitivity and maintaining professionalism at all times; escalating any complaints, problems or issues to clinicians or management as appropriate.
9. To ensure confidentiality is maintained at all times complying with the Data Protection Act, Information Governance and other Trust/departmental policies.
10. To assist in providing cover for the secretaries in the Directorate to ensure continuity of service to consultant, medical staff, service users and patients.
11. To undertake any other duties as appropriate within the role under agenda for change frameworks.

Qualifications
* GCSE Grade C or above English
* Recognised word processing qualifications or relevant experience
* Relevant experience in a Medical Secretarial Role
* AMSPAR Diploma or Medical Terminology qualification or working towards an AMSPAR qualification (Including C&G Medical Admin Courses/NVQ)
* GCSE Grade C or above Maths
Experience
* Proven secretarial experience in a busy healthcare environment
* Audio Typing /Typing Experience at a senior level
* Experience of working in a busy office
* NHS experience
* Use of OASIS, PAS, Bluespier, CLIP, and digital dictation
