Title of Post: Deputy Practice Operations Manager
Salary: £18/hour
Hours of Employment: 37.5 hours / week 0700 start Monday - Friday

Job Summary
The Deputy Practice Operations Manager will provide day-to-day support to the Practice Operations Manager and operations of the practice, to ensure that we consistently provide a safe, effective and high-quality service to our patients.
This role requires a self-motivated, innovative, and dynamic individual capable of managing the efficient day-to-day running of a large multi-site GP practice while supporting the Practice Operations Manager in achieving our objectives.
Key Responsibilities:
* Clinic Management: Monitor appointment availability daily and work closely with the GP Partner Lead to adjust clinics and appointments in response to planned and unplanned changes in staffing numbers and/or to meet demand.
* Reception Tasks: Monitor and action EMIS reception task inbox daily. Ensure timely response to clinicians and patients, and that appropriate tasks are signposted.
* Oversee day-to-day IT: systems and equipment queries to ensure business as usual.
* Handle online patient complaint responses, comments, and escalated queries. Keep a log of all comments and responses and identify trends and/or actions we might take to address concerns.
* Responsible for our MVP email inboxes: responding to queries and/or signposting internally as required.
* Run MVP’s seasonal vaccine campaigns: working with the Business Operations Manager to organise clinics and resources, as required.
* Responsible for all site compliance checks: fire, water and security - working with the Business Operations Manager to organise and report on all regular checks, escalating issues and taking action as required.
* Provide support and guidance: to all reception leads and teams; ensuring that they always adhere to policy and procedure.
* Deputise: for the Practice Operational Manager in their absence.
People:
* Support staff development, providing guidance and direction, ensuring all reception staff are up to date with mandatory training.
* Supporting the recruitment and retention of staff.
* Act as a role model to lead, monitor, motivate and inspire the teams.
Qualifications, Skills and Experience:
* Experience in general practice.
* Experience in EMIS Web, Accurx, and other relevant software systems is desirable.
* Excellent people and IT skills.
* Proven experience of managing / leading teams.
* Strong communication and problem-solving skills.
* Ability to work independently and as part of a team.
Other Duties:
The Deputy Practice Operations Manager may, from time to time, be asked to undertake other reasonable duties, with appropriate training. It is important that all members of staff are prepared to undertake additional or relinquish current duties to maintain service delivery to patients. It is expected that requests from the Partners will not be unreasonably refused.
