About Our Client
Our client is looking for a skilled receptionist to join our fun and enthusiastic team for a fashion related company in Guildford. Our preferred candidate will be the first point of contact for our organisation ensuring a professional and welcoming atmosphere.
Job Description
* Answering phone calls and making notes
* Greeting visitors warmly, offering them help and notifying appropriate people that a visitor has arrived to see them
* Maintaining front door security
* Make sure the entrance and the office are clean and tidy - Tidying up, organising, and maintaining the reception area
* Setting up meeting facilities
* Arranging catering for meetings
* Carrying out administrative tasks (arranging posts and deliveries, ordering stationery, and dealing with staff's ordering requests
* Use of technology - IT systems (MS Teams and Outlook is essential)
* Carrying out the weekly tests of fire alarm
* Keeping basic office supplies stocked and accessible to staff
* Assist with other duties as assigned by the office manager
* Help with mail and DHL parcels. We have mentioned before it's not nice to create a pile of parcels every day for DHL. The receptionist can keep the parcels next to the reception desk in a box, or even better, can place this box upstairs and make sure will bring it downstairs a bit before the driver comes.
The Successful Applicant
A successful Receptionist/Administrator should have:
* Proficiency in Microsoft Office Suite
* Strong communication skills
* Ability to work well under limited supervision
* Great attention to detail
* High school diploma; additional qualifications in Office Administration are a plus
