The incumbent is expected to provide general support to the Managing Director and small wider for an Investment Team based in London’s West End .This role is office based in London W1 and is part time so will be Tues - Thursday each week SCOPE Reporting to the Managing Director. The incumbent will provide diary management and handle the unit’s administrative tasks including travel arrangements and conference registration/logistics. Further, the incumbent will arrange meetings, meet and greet visitors, and assist with meeting set ups. The incumbent will also help organize all staff and external events. There will be some specific tasks with regards to filing and managing some of the company’s database, ensuring health & safety policies are adhered to, and assisting with the induction of new employees. PRINCIPAL CONTACTS The incumbent is expected to work with the Managing Director and with the other Europe team members. The incumbent is expected to have ad hoc contact with other support staff/PAs as well as with other support staff/Receptionist/PAs in the London office PRINCIPAL DUTIES Diary assistance/management for the Managing Director General support to the wider investment team which will include arranging meetings, secure meeting rooms, meet and greet visitors, and assist with meeting set ups (audio/video) and any lunches/refreshments. booking lunch and dinner venues as and when requested some limited travel arrangements (travel arrangements are fully digitized and each individual’s responsibility) In some cases, organizing conference passes for various events throughout Europe arranging visas for international travels File and manage company’s databases related to contracts and documents from interactions with counterparties, ensuring files are kept up to date and ready for external and internal audit if and when required, in close cooperation with the Managing Director and any other related function heads. Organize all staff and external events, daily teams’ items and events inoffice or out-side office such as business dinners. Organize related items from the new employees’ induction programs, including, but not limited to, IT hardware arrangements, access to databases, gate passes, subscriptions, etc. Ensure health and safety policies are up to date, including fire warden and first aid responders Ensure general office tidiness, handle any post, place stationery and IT orders and maintain suitable supplies Perform other miscellaneous duties as directed by Line Manager and be involved in ad hoc projects MINIMUM REQUIREMENTS Minimum 5 years’ experience of working as a PA, Secretary or customers services Associate’s degree in Administration or other related majors is desirable Proficient use of MS Office packages, particularly Word, Outlook, PowerPoint and Excel Strong verbal and written communication skills The ability to take instruction well and multitask efficiently. Clear aptitude for planning and organizing, and attention to detail Experience within the financial services industry and/or a background is desirable
