CUSTOMER EXPERIENCE & LEASE COMPLIANCE DEPARTMENT As a part of the Vantage Operations team, the Customer Experience & Lease Compliance department is responsible for managing all aspects of the customer relationships from the inception of the lease by ensuring that data modules are delivered, monitored and maintained per contracts; supporting customer requests and audits to prove compliance; providing customers with visibility to performance and maintenance of their data modules on our Portal; tracking and reporting on customer service levels (SLAs); producing monthly customer electricity bills based on consumption; and generating regulate reports, analytical insights and forecasting for Operations and the Executive Leadership team. The Customer Experience and Lease Compliance department works closely with all Vantage departments to ensure customer success throughout construction and delivery. POSITION OVERVIEW Vantage is looking for a resourceful, detail-oriented, self-motivated Lease Administration Assistant to be responsible for ensuring that all sites across the EMEA region are compliant with data center leases. You will assist the Senior Manager with cross functional deliverables and deadlines for all lease commencements and support day-to-day obligations to customers regarding operations, monitoring and Service Level Agreements (SLA). In addition, you will assist in coordinating customer move-ins, projects, and audits. The right candidate must have experience managing technical leases in the data center, commercial real estate, or equivalent industry and possess exceptional integrity, attention-to- detail and excellent judgement in handling sensitive information. Excellent communication, cross functional project management, negotiation, and organizational skills, as well as breadth of knowledge of legal real estate terms and familiarity with critical facilities equipment are a must to succeed in this role. ESSENTIAL JOB FUNCTIONS • As an individual contributor drive the successful technical and administrative results of the company and work with Vantage cross-functional teams to initiate and meet requirements for customer leases • Extract time-bound and ongoing deliverables from customer leases into a matrix; communicate and track compliance through to completion • Gain customer acceptance by demonstrating detailed, technical, robust management of data center development and operations management • Meet with customers for SLA compliance/Operations review, coordinate customer-initiated audits with Operations teams and generate reports and evidence as needed to support customer requests • Maintain updated dashboards of all properties and their respective specifications, milestones, and statistics for executive team DUTIES • Analyze and convert leases into actionable items; manage cross-functional team to successful customer commencement (including complex construction, monitoring, reporting and operations) • Manage on-going compliance of customers leases that are commenced, including: service level agreements, environmental reporting; preparing and presenting technical overviews, operations management reports • Contribute to customer move-in and move-outs and leading customer-initiated audits • Provide a high-level of commitment to customer service; communicate issues and resolution if needs arise • Work with design, engineering, construction, and security and co-manage commencement and customer enhancement projects, project close out requirements for customers and Vantage operations • Be responsible for ensuring the accuracy of building specifications, and work with the cross functional teams to ensure alignment on lease provisions • Point of contact for wholesale customer lease administration activities such as abstracting deliverables and SLA from lease into spreadsheets; monitor critical dates (renewals, rate increase, options, etc.); and resolve discrepancies; ensure customers meet their contractual obligations • Manage Property Management & Lease Library SharePoint sites JOB REQUIREMENTS • Bachelor’s degree in Business Administration, Engineering, Accounting or Legal; ability to comprehend and create excerpts/actionable insights from complex legal, business & technical documents • Professional experience – including at least 2 years in areas of contract/lease management, and prefer at least 2 years in one or more of the following areas – commercial construction, operations management, controls/systems engineering, customer project management (preferred) • Demonstrate a serious commitment to accuracy and quality while meeting multiple goals or deadlines; be proactive, work well under pressure and have ability to lead cross-functional teams without direct authority • Excellent written and oral communication skills; superior organization skills with proven ability to handle multiple projects simultaneously for multiple sites and Must have intermediate to advanced proficiency in Microsoft Word, Excel, Outlook and SharePoint • Ability to keep information strictly confidential; and communicate sensitive information to customers • Required travel is will range between 0%-10% and may increase over time as the business evolves • Ability to work as part of team and on own initiative and form strong working relationships with others We operate with No Ego and No Arrogance.
