An opportunity for a permanent full-time Administrator to join our friendly and supportive team. We are looking for a conscientious and reliable person to work as Team Administrator at Tandridge Community Mental Health Recovery Service.
We are a community-based service, providing specialist treatment and support for people who have severe and enduring mental health problems living in the Tandridge area who are registered with a local GP. The post holder will be responsible for the provision of a high-quality administrative and secretarial service to the multidisciplinary team. You will need to have good organisational and interpersonal skills, an eye for detail, and experience in a busy office environment. We are looking for a person who is hard-working, flexible, and able to prioritise their work.
The post includes general office duties consisting of:
1. Inputting patient details on electronic record system (SystmOne)
2. Supporting clinical staff
3. Filing, photocopying, sorting post, scanning and uploading documents
4. Liaising with patients, GPs, and medics
5. Managing stationery & clinical supplies
6. Taking meeting notes
7. Dealing with enquiries by email and letter
8. Answering telephone calls and typing letters
The successful candidate will have excellent clerical and typing skills and be able to communicate effectively with both patients and staff. Although not essential, knowledge of SystmOne would be desirable.
Key Responsibilities:
1. Receive & process referrals
2. Process discharge paperwork & update system accordingly
3. Type all letters for the team
4. Book appointments on patient record system/update electronic patient's record on system as required
5. Take minutes at team meetings & transcribe accurately
6. General admin tasks, i.e., typing/copying/scanning/printing/laminating etc.
7. Provide support to team members in setting up rooms for meetings
8. Check & book rooms for other team members and services
9. Monitor & raise purchase requisitions for stationery/supplies/services such as interpreters for the team
10. Arrange clinic appointments
11. Cover Reception when needed
