Hours of Work : Monday -Thursday 9am - 5pm, Friday 9am - 4.30pm (34.5 hours per week)

Purpose of Role
Reporting to the Finance Manager, the finance administrator is responsible for the day-to-day management of SNIPEF’s purchase ledgers. This includes processing invoices, creating fortnightly payment runs, posting bank payments and receipts to supplier accounts, reconciling supplier accounts to ledger, and other general accounts payable duties. The role is also responsible for processing employee expenses, credit card expenses, reconciling bank transactions, and other general finance duties.
The finance administrator will also act as cover for the sickness and holiday schemes operated by SNIPEF on behalf of members.
Principal duties and responsibilities
* Accounts payable and receivable.
* Preparing supplier payment runs.
* Reconciling supplier and customer statements to ledger.
* Managing and reconciling petty cash.
* Prepare and reconcile financial reports.
* Following financial controls and procedures.
* Assisting with the administration of member holiday and sick pay schemes.
* Managing and posting credit card expenditure and employee expenses.
* Keeping accurate records of daily bank transactions.
* Responding to finance queries received by telephone and email.
* Participating in financial audits (preparation of supporting backup information for audit).
* General finance administrative duties.
Accounting Functions
* Process and payment of invoices and claim forms.
* Reconciling bank statements and general ledger accounts.
* Petty cash payments and reconciliation.
* Credit card processing and reconciliation.
* Issue and receipting of invoices.
* Ensure the purchase ledger is kept up-to-date and that records are accurately maintained.
Reporting and Financial Statements
* Prepare monthly aged creditors report for the management accounts.
* Assist in the year end process where necessary, including collating information for external audit.
Financial Controls and Risk Management
* Ensure regular banking of income and update status of payments and receipts.
* Provide monthly bank, sales, and purchase reconciliations.
* Adhere to SNIPEF’s financial policies and procedures.
* Support and develop new tools and systems to strengthen financial controls and risk.
* Ensure that cheque books, purchase order books, invoices and others are well accounted for.
General
* Work effectively with colleagues and provide advice to achieve SNIPEF's aims and objectives.
* Keep abreast of current accounting best practices.
* Professionally and positively represent the organisation at all times.
* Undertake training, as necessary, for your department's and the business's needs.

Essential Criteria

* Experience with Microsoft Office: Excel/Word/Outlook.

Desirable Experience
* An HNC or equivalent in Finance and Accounting.
* Previous experience following financial controls and procedures.
Education and Experience
* Previous experience of working in an accounts payable role.
