Please note, the salary for this role will be £28,000 pro-rated for 3 days a week.
Your Role
* Ensure the smooth running of the office for all employees and visitors
* Responsible for ensuring all uniform is ordered and delivered
* Coordinating storage and distribution of the uniform and other office furniture and adhoc incidentals
* Supporting the Office Manager and the people team with employee engagement activities including supporting with internal communications
Key Deliverables
Reception/Office
* Set up of the office, ensuring tea, coffee, milk and refreshments are available
* Keeping the office, meeting rooms and stock cupboard tidy
* Completing the health and safety checks in the office, such as fire extinguishers, fire doors and lighting
* Escalating any building issues to the office manager or to building services
* Coordinating meeting room requests and ordering catering where required
* Greeting visitors and employees in a confident and friendly manner, supporting visitors with any meeting room set up
* Managing deliveries in and out of the business
* Ordering refreshments and stationery for the office, being cost effective
* Occasionally needing to go to the local shops for additional items
* Supporting the Office Manager with admin
* Supporting the Office Manager and People team with employee engagement initiatives, such as social events, town hall meetings and surveys
* Writing first drafts of internal communications that are engaging to employees and represent our values
* Some light cleaning during the day including stacking and emptying the dishwasher to ensure availability of facilities throughout the day
Uniform storage and distribution
* Working with key stakeholders; Retail & Merchandising, Brand & Design, Event Experience, Hospitality and Sustainability teams and our external supplier of storage and distribution to ensure the smooth collation and distribution of uniform to employees and volunteers. As well as adhoc items.
* Developing the process and procedures for uniform ordering and distribution, setting SLA’s and clearly communicating the process to the business
* Being efficient when it comes to ordering and distribution to maximise the budget available
* Attending meetings where necessary to communicate process
* Managing the uniform inbox and uniform smartsheet
* Keeping good records for auditing and data analysis
* Using initiative and being proactive to foresee any issues with supply, keeping abreast of business activities and requirements
