The role:
We are seeking a recent graduate to join our existing Finance team in an entry-level position. The Finance Assistant AP & AR (Accounts Payable & Accounts Receivable) plays a crucial role in supporting the AP and AR function during peak times (i.e., post event completion, sales going live and pre-event commencement). Reporting directly to the Finance Manager, this role involves close collaboration with our event teams to ensure the seamless processing of accounts receivable and accounts payable for several key events.
What you will do:
* Accurately process and manage accounts receivable & accounts payable transactions for all assigned events.
* Generate and distribute invoices & credit notes to clients promptly and in accordance with contract terms.
* Reconcile accounts receivable & accounts payable ledgers to ensure all payments are accounted for and properly posted in a timely manner.
* Ensure that all client contact information (new clients and old clients) is up-to-date and logged in the finance system.
* Manage the accounts mailbox and respond to all sales ledger queries.
* Assist the Accounts Receivable with client calls and receivables chasing.
* Review and verify invoices and payment requests for accuracy and completeness.
* Prepare and process electronic transfers and credit card payments.
* Secure revenue by verifying and posting receipts as and when the contracts with clients have been finalised.
* Monitor and track outstanding receivables, following up on overdue accounts (phone & email) to ensure timely collection.
* Manage expense reports and ensure compliance with This Is Beyond policies.
* Prepare regular reports on accounts receivable and accounts payable status and ageing analysis for review by the Financial Manager.
* Assist in the preparation of FP&A and reports as required.
* Support the finance team with month-end and year-end closing activities.
* Take a proactive approach to problem-solving and process improvement.
* Support with any ad hoc projects & requests as and when they arise.
What you will need:
* Strong verbal skills and confidence during phone/in-person conversations.
* A Bachelor's degree in finance or a related field is required.
* Relevant accounting qualifications or coursework would be advantageous.
* Strong proficiency in accounting software such as AIQ & Quickbooks and Microsoft Office Suite, particularly Excel (intermediate to advanced).
* Excellent numerical skills and attention to detail.
* Strong organisational and time-management abilities.
* Ability to work as part of a team.
* A proactive approach to problem-solving and process improvement.
* Willingness to travel and work flexible business hours as required.
* Capacity to work flexible hours as required when on-site.
Position Type: Permanent, with a 4-day working week. Our hybrid model includes 3 days in the office (located in Shepherd's Bush), 1 day working from home, and every Friday as a non-working day as standard.
