They have also won awards for being the best architecture employer - an all around amazing place to work They are looking for an experienced Office Administrator to join their team in Oxford on a 12 month fixed term maternity contract. As the Office Administrator, you will report to the Regional Studio Manager. Contract: 12 Month Fixed Term Contract Salary: £27,000 - £32,000 Work schedule: 4 days in the office, 1 day working from home. Key responsibilities include: Serve as the primary contact for employee and office support needs. Manage front office tasks, including welcoming visitors and handling incoming calls. Handle purchasing for office supplies, stock, and stationery. Provide administrative assistance to the team, such as coordinating travel arrangements, preparing reports and drawings, managing files, and uploading documents to client portals. Assist project leaders with fee and resource management by supporting the Regional Studio Manager in monthly project reviews, using our internal project management software (Rapport) for updates. Oversee facilities management tasks to ensure a well-maintained work environment. Support the implementation and upkeep of business procedures. Coordinate meeting room bookings as needed. Provide new employees with onboarding information, including health & safety guidelines. Skills & Qualifications Proficient in Microsoft 365 suite. Strong numerical skills. Experience in office management or a similar role within a similar industry - Build, Technical, Design or Real Estate would be highly advantageous. Flexibility and ability to prioritise effectively. Comfortable working in a fast-paced environment with frequent interruptions. Strong problem-solving skills and professional demeanor. Excellent communication skills with keen attention to detail. Outstanding organizational abilities. Willingness to learn and grow, with a collaborative approach. Desirable: Experience meeting and maintaining ISO standards.
