Job Description
Our client, one of the UK's largest Facilities Management companies, is looking for a Facilities Manager in the Poole area.
The role involves the running of the site, including full TFM (cleaning, catering, waste, engineering), overseeing 3 engineers based on site along with a team of cleaners and canteen staff. Responsibilities include day-to-day management and customer interactions, PPM management, extra works, and various additional tasks.
Duties:
1. Responsible for answering telephone calls and directing calls to the appropriate point of contact.
2. Providing excellent service to clients by listening to inquiries and ensuring client satisfaction with our products.
3. Greeting visitors in a friendly manner and ensuring they are directed to their meeting location or introduced to their point of contact.
4. Ensuring that visitors sign in and out on the registration application and assisting visitors with difficulties in using the registration application for security purposes.
5. Registering all new staff members on the registration application.
6. Providing a virtual office service, including assisting with client applications, contract agreements, account set-up, and monthly invoicing of client payments.
7. Assisting the Finance Department with outstanding monthly payments by contacting clients and engaging with them to explain their situation and offer solutions.
8. Providing general administrative support to the HR and Facilities Department.
9. Booking meeting rooms for meetings.
10. Ordering and organizing refreshments and tableware for meetings.
11. Scheduling meeting room use for associated departments, if needed.
12. Raising purchase requisitions for office supplies.
13. Scheduling mail pick-ups and distributing incoming mail and franking outgoing mail.
14. Providing a front-of-house service by maintaining the reception area as a welcoming space and ensuring all certificates are in place.
15. Organizing and scheduling the reception rota.
16. Reporting maintenance requests.
17. Overseeing that the cleaners' work is completed satisfactorily.
This is a temporary role paying £24 per hour PAYE or £30 per hour Umbrella. Previous experience as a Facilities Manager is essential.
