As a Workshop Administrator, you are the vital link between your customers and our workshop, bringing to life the Northgate experience, ensuring their vehicles’ visit with us runs as effortlessly as we promise.

Our workshops are busy and fast-paced, as a Workshop Administrator, you are the oil that keeps the whole workshop running smoothly. For us customer care always comes first, so confidently delivering great service with a smile is second nature.
Where you can make a big difference is by making every second in the day count - from booking in vehicles for maintenance and repairs, liaising with your workshop team to schedule work, updating customers on progress, or ensuring the correct approvals are in place for the work carried out, you can be sure you will never be looking for something to do!
Your Technicians rely on you to plan their day and keep the workshop running efficiently, so an understanding of the motor trade or car dealerships would certainly help get you off to a flying start in your new role with us. Our proven induction training will help of course, however, you’ll need all of your customer service know-how, planning and administration skill, and most importantly your logical, ‘can-do’ attitude to deliver the experience our customers expect from us.
Your responsibilities:
1. Taking instructions from customers and processing efficiently service and/or repairs in workshop and obtain customer’s signature on completed repair order.
2. Maintaining the progress of customer’s vehicle repair work, communicating any additional work required, obtaining authority, and ensuring full payment of any cash accounts before releasing vehicle.
3. Notifying customer of vehicle status and arranging collection or delivery.
4. Handing over vehicle in a professional manner, and in a clean condition, inspect vehicle for any bodywork damage, explain repair work carried out, if additional work is required re-book vehicle for future work.
5. Ensure that Technicians job card write-up and allocation of time is well documented to ensure accurate billing.
6. Maintain a good working relationship with customers by answering the telephone and responding to any queries within the target set by the Company to ensure repeat business.
7. Ensure customer’s vehicle history is reviewed and maintained up to date and customer is informed of required services due.
8. Ensure that customers who are waiting for their vehicle are comfortable.
9. Ensure customer’s vehicles are secure at all times, especially when parked in the compound.
10. Assist the Service Manager to ensure the smooth running of the service desk.
11. Maintain the smooth running of the 24-hour service for incoming breakdowns and authority required for the repairs carried out in the workshop relating to the breakdowns.
