Office Administrator: HR and Finance
The Office Administrator leads on the effective finance and HR administration of RJ4All, ensuring a smooth running of the day-to-day operations in the UK and Cyprus Offices.
Restorative Justice for All (RJ4All) is a charitable, user-led international institute with expertise in preventing and addressing harm at the individual, community, and inter-state levels. We are one of the world’s leading experts in transferring complex criminological and social justice concepts into practice through real-life pilots and community projects.
You will work closely with the UK and RJ4All Europe managers to support the implementation of our Human Resources, including supporting recruitment, recordkeeping, information management, training, morale, and entry and exit processes. In addition, you will lead on the administration of our finances working closely with our accountants and bookkeepers for both RJ4All branches. You will also support the team with administrative tasks including updating databases & policies, supporting internal communications, creating processes, contacting stakeholders, support planning, chasing outstanding matters, etc.
The post-holder will need to show excellent organisation skills, the ability to juggle tasks and perform them with confidence and diligence, and a good level of independence. Initiative and innovation are attributes that are highly valued at RJ4All to improve our current processes.

Key Tasks
HR and Admin
1. Responsible for the recruitment of new staff and interns including creating job posts, organising and conducting interviews, and communicating feedback.
2. Lead on the induction and onboarding of new staff and volunteers.
3. Create and implement new processes surrounding staff wellbeing, data management, and intern development and support programs.
4. Implement policies and answer staff questions on HR matters including annual leave, pension, working conditions, performance, and equal opportunity.
5. Organise meetings, weekly RJ4ALL staff meetings, and quarterly board meetings, take minutes, and maintain the action tracker.
Finance
1. Oversee all designated finance tasks for both RJ4All UK and Europe.
2. Prepare, process, and issue invoices coming in and out.
3. Create expenditure tracking sheets and any necessary grant finance reporting documents.
4. Manage the invoicing process and monitor grant income and expenditures.
5. Treat with confidentiality any information about RJ4All members, users, staff, and research that could be deemed as personal, private, or sensitive.
Qualifications
* Bachelor’s Degree in HR, management, finance, accounting, or business-related discipline.
* Work experience in Human Resources, Administration, Finance, Accounting, or similar roles.
* Ability to work accurately with attention to detail and well-developed organisational skills.
* Ability to work independently and communicate proactively.
* Strong written and verbal communication, including the ability to contribute to decision-making and planning.
* Excellent attention to detail, well-developed organisational skills, and ability to deliver on a deadline.
* Experience in non-profit, CIC, or small business environment.
* Familiarity with Microsoft Office Suite (Outlook, MS Teams, Sharepoint, Word, Excel, PowerPoint).
* Knowledge of the HMRC and UK tax regulations and best practices.
* Knowledge of international and European regulations.
