Essex County Council (ECC) are delighted to be supporting Braintree Council to recruit this Administration Support Officer (Housing Operations).
The Opportunity:
Are you a strong administrator, with a good working knowledge of financial processes, including raising purchase orders and processing invoices for payment? Do you also possess a high level of accuracy and attention to detail?
An exciting opportunity exists within our Housing Options Team at Braintree District Council, to work closely with and support our busy Housing Team to deliver this key front-line service. This is a fixed term contract for 12 months and a full time position working 37 hours per week.
Key to your role, you will be responsible for monitoring and recording the payment and coding of all invoices and checking against purchase orders. You will also be responsible for compiling team rotas and supporting the work of the Joint Referral Panel. You will support the Housing Options and Assessment Team with recording and saving information provided by customers, either by post or electronic means, including updating applications and requesting, verifying, and attaching documents to housing register applications. As part of your role, you will also need to answer general telephone calls and take minutes at meetings.
Experience:
With the ability to work as part of a team in a busy environment, you will be highly organised and pro-active in your approach, able to manage, balance and meet challenging deadlines in an ever-changing environment.
You will have excellent IT skills, including good working knowledge of creating and updating Excel spreadsheets and using Word documents.
Accountabilities:
1. To compile and update the rotas for office duties and for the emergency out-of-hours service, maintain a record of out-of-hours calls and advise the Assistant Housing Options Manager of any problems with this service.
2. To update various calendars (e.g. team, individual) with AL, training, duty etc details.
3. To arrange and diarise meetings for managers across Housing Operations, as requested.
4. To raise invoices and process invoices for payment within the corporate timescales.
5. To provide typing and general clerical support to the Housing Options & Housing Assessment Teams; including collection/distributing post (electronic and via Royal Mail), scanning, filing and minute taking at various meetings.
6. To update procedures and template letters as requested and advise the Manager of any problems.
7. To take telephone and personal callers' messages whenever necessary and deal with them in the appropriate manner.
8. To provide clerical/administrative support to the Joint Referral Panel.
9. To provide administrative support to the Housing Assessment Team, including updating applications and requesting, verifying and attaching documents to housing register applications.
10. To maintain various spreadsheets/records, obtaining data/information from team members as necessary, including records relating to loans and bonds issues to customers to access private sector accommodation.
