Job Overview Supporting the BM to ensure the Fleet Supervisor and Assistants are recruited, trained and equipped to carry out their roles to the highest standards. Through strong direction and team motivation, you will ensure our motorhomes are ready for hire as per business requirements. Work with ABM to ensure day to day operations are running smoothly raising any operational, crew or H&S concerns. Responsibilities Staff Management: - Build and maintain strong working relationships through regular meetings and clear communication: Daily huddles with Fleet crew Daily meeting with ABM and FOH Supervisor Twice weekly with BM Weekly with Sales crew - Recruitment and Induction of relevant crew: Permanent Fixed term Seasonal - Use the Playbook and Matrix to create and implement training plans for all Fleet crew: Prioritise Document Review - Performance management including but not limited to: Probation reviews Staff appraisals Performance and absence related issues - Direct and guide the crew to achieve performance targets through training, leading and motivation: Clean On ins, quantity and quality Daily Huddle content, clear messaging around Ops and H&S - Continuously evaluate Fleet processes and performance. Provide suggestions and plans for improvement Ensure all crew are adhering to H&S policies - Management of all crew rotas to optimise efficiency. Use Bamboo and Sling to: Ensure staffing levels meet the needs of the business Manage holiday requests and absence reporting - Deal with payroll information for seasonal staff: Ensure hours are signed off, accurate and delivered to payroll on time Investigate any queries in relation to staff pay Operational: - Using Motek, work alongside Logistics Coordinator to: Plan regs Minimise Same Day Turnarounds Stick to forced bookings Communicate out to FOH Supervisor. - Coordinate, prioritise and schedule operational activities to ensure the timely delivery of clean and safe vehicles: Aim for all vehicles to be cleaned on in Ensure internal and external cleans are being completed within given deadlines. Ensure QCs are completed timely to ensure fixes get corrected before going back out on hire, Ensure any major issues are communicated clearly between Logistics, Workshop and FOH Ensure all vehicle swaps and delays are communicated to relevant teams Carry out spot checks - Solve day to day problems and implement plans to ensure minimal delay in vehicle preparation. To include but not limited to: Crew absence Stock issues Wash system and refuelling issues Vehicle faults - Maintain good relationships and account with linen company: Plan ahead to minimise last minute requests and added costs Ensure deliveries are booked and paperwork is correct - Ensure the lock up and security of all vehicles Use Yard map and VTA to ensure vehicles are parked correctly, locked and keys are secured each night Support Sales department with vehicle preparation within set timeframe: Attend weekly Sales meeting Provide accurate staffing levels See detailed sales plan - Assist with the management of the THL Process (NZ Prep) Provide accurate staffing levels Organise the THL workflow process Streamline THL Airtable and ensure all input data is 100% accurate Share best practices with other branches Italy prep: - Work alongside LCY/DUB/BFS to: Plan and prepare extras to be shipped Provide and fully prepare crew for time spent at Tuscany branch With Logistics, monitor incoming vehicles for book pack removal, Spare key storage, Locking Wheel Nut placement and report any trends found on QCs Winter projects: - Plan and execute vehicle Winterisation project. (See detailed plan) - Full review of Fleet processes, plan and implement adjustments. Stock: - Weekly count of all stock items. - Ensure minimum order quantities are in line with business requirements. - Using Motek, look ahead to ensure enough stock is in place. - Reorder through Airtable form, Chemisure or weekly stock take. - Clear items from airtable once delivered.
