Members Administrator
We are seeking an experienced Members Administrator to work from our client’s office in Rochford. You will provide administrative support to the Office Manager and the office on a day-to-day basis.
Duties & Responsibilities:
Answering telephone and email communications and dealing with general enquiries
Processing of new memberships, completing new member letters and forwarding welcome packs
Fulfilling literature requests from member organisations, members and healthcare professionals
Dealing with incoming and outgoing mail including taking outgoing mail to the post office
Accepting and recording deliveries, including storage of leaflets, promotional items and stationery
Preparing communications, photocopying, collating and distributing correspondence as instructed
Attend training courses, such as First Aid or Fire Safety
Assist with the general preparations for meetings and events including bookings, payments and dispatch of exhibition equipment
General hardcopy and electronic filing as required
Assist with general office upkeep and cleanliness as and when required
Any other ad hoc tasks as delegated by the Office Manager, or the Chief Executive Officer
Processing member subscriptions and updating member information using the database
Accurately allocate renewal payments and donations received online, by cheque and standing order to the database, and update the spreadsheet
Assist with the management of the companies One2One Support
Efficiently process and record requests for support, ensuring confidentiality, and compliance with data protection and safeguarding regulations
Communicate directly with Support Volunteers to arrange requests for support received from individuals, and other medical professionals
Assist with the maintenance of the Support Volunteer database
Assist with the organisation and participate in virtual and/or in person Support Volunteer training courses. Some evening and weekend work will be required, including attendance at online support volunteer meetings
The above-mentioned duties are neither exclusive nor exhaustive and the post holder may be required to carry out additional tasks to assist the organisation in carrying out its work efficiently.
Essential Qualifications & Experience:
At least 3 years’ experience in an administrative role
Excellent all-round admin skills
Proficient in the use of standard software packages such as Word, Outlook and Excel
A pleasant, caring and confident approach when dealing with telephone and email enquiries
Ability and sufficient life experience to handle sensitive enquiries of a confidential nature
Experience of processing and managing financial transactions and resolving queries
Ability to work as part of a small team with a ‘can do’ and ‘hands on’ approach
Strong interpersonal skills, able to liaise with outside organisations and persons
Ability to work on own initiative, with a confident and pro-active approach to tasks
Excellent organisational and time management skills
Flexible and creative approach to work
Confident approach to lone working, with ability to process tasks unsupervised
The Package:
Monday to Friday - 9am to 5pm
Temporary - Permanent Position
£12.50 per hour
