Pay Banding: Band 3 - £13.13 per hour

Job Description
The post holder is required to provide clerical and administrative support to the clinical coding function through the location, collection and provision of casenotes and clinical information necessary to allow the timely completion of the coding process.
The post holder will also seek to assist in the resolution of data quality recording errors on the Patient Administration System (PAS). In addition, they will be required to interrogate the Lost Income Report on the Qlikview System to identify outstanding uncoded spells which have a negative impact upon financial and activity reporting.
The role is essential in supporting the department to achieve its commitment to service delivery.
1. To provide support to the Clinical Coding Department by ensuring a constant flow of discharged patient casenotes are located and collected on a daily basis from ward and other areas from around the hospital site.
2. To be responsible for updating the location of all casenotes arriving in the department using the electronic casenote tracking function within PAS.
3. To be responsible for identifying outstanding uncoded activity using the electronic Lost Income Report on the Qlikview PTL.
4. To ensure all casenotes/clinical information relating to outstanding uncoded activity is located and retrieved in a timely manner thus allowing the coding process to be completed in accordance with departmental and national deadlines.
5. To be responsible for providing administrative and clerical support to the clinical coding team by acting as the central point for all casenote queries and requests received via email and telephone, prioritising each request to ensure they reach their onward destination whilst observing the need for the coding process to be completed in the first instance.
6. To bring to the attention of the Clinical Coding Manager, any available clinical information relating to outstanding uncoded episodes, that may support the coding of the activity.
7. To maintain a detailed knowledge of PAS and all policies relating to its use to promote efficiency and demonstrate compliance.
8. To solve discrepancies pertaining to casenote tracking queries.
9. To investigate and coordinate searches for missing casenotes upon receipt of urgent email or telephone requests.
10. To liaise with ward based clerks, secretarial and other administration staff, maintaining a good working relationship with all concerned, in order to aid the timely retrieval of casenotes to support departmental deadlines.
11. To assist the Clinical Coding Management Team by actioning (ad-hoc) requests for casenotes such as those required for audit and research purposes, including pulling casenotes from the Health Records Library.
12. To participate in training programmes meet mandatory requirements and aid personal development.
13. To act in accordance with the department’s Policy and Procedure document.
14. To undertake duties and tasks as requested by the Clinical Coding Management Team.
