The Role To support the Shared Service Centre and the SSC Senior Management Team to ensure an effective two-way flow of communication and information between senior management and the SSC teams. Using a one best way and continuous improvement methodology. Provide support to the Business Delivery Manager in managing SSC budgets, diary management, resourcing, and all business delivery functions. Core Accountabilities Maintain resource records for the Shared Service Centre (SSC) including;Providing an efficient recruitment pipeline, from the scheduling of Assessment Centres, arranging interviews and completing the onboarding process Support the annual casual worker recruitment process Providing weekly updates to SSC Senior Management Team regarding all aspects of recruitment and resourcing Coordinate the flow of information from senior management into the teams, and the flow from the SSC to other CAA and external stakeholders including;Business Change activities Organisational chart alignment/coordination structures updates Provide meeting support (i.e. assisting to develop agendas, collate and circulate papers, prepare, and circulate Action/Decision log, etc.) and the organising of the meeting including all the logistics (i.e. catering, venue booking, etc.) Focal point for all SSC / HR related workflows. Including attending meetings and creating procedures/process in a one best way format Responsible for managing and updating relevant databases and systems to maintain accurate and effective records for the SSC. (i.e. resource tracking) Involvement in small projects within the SSC, including but not limited to management of audit activity and the Business Continuity Plan Coordinate small change project work as required within the SSC Develop and maintain an SSC Project register to provide management with visibility of all project activity involving the SSC, resources, progress, and timescales Support SSC Procurement activities. Including invoicing, budget tracking and maintaining authorised signatories register Supporting the SSC Business Delivery Manager with budget related activities and cycle About You To be considered the for the role you must have: Effective planning, organisational, and time management skills Ability to work well under pressure in a fast-paced environment to support operational requirements within short timescales Ability to work with minimum supervision, will need to be able to use their own initiative and set own deadlines Able to collect data and inputs from others and create summary information to help inform decision making Good interpersonal skills, including an ability to adapt appropriately to deal with people at all levels within the CAA Good verbal and written communication skills with attention to detail. Proficiency in the use of MS Office products Able to think ahead to establish an efficient and appropriate course of action.
