The Role: The West hub provides spaces for visitors to work, collaborate and socialise. Visitors range from members of the public and local community, external businesses, university students, teachers, and University staff. Guests can choose to work, collaborate, and socialise from a number of open spaces. They are also welcome to book private spaces for teaching, meetings, and events. These events range from regular bookings, through to board meetings, conferences, exhibitions, and evening receptions. Some events can be run free of charge while others require payment. The role-holder will support the administrative process of all of these activities, processing all types of bookings. The role holder will be the first point of contact for customers, supplying information on our spaces, availability, parameters and taking site visits. The role holder will have responsibility for managing the event management software Ivvy as well as issuing booking contracts, tracking payments, working with offsite suppliers and communicating event details with the West Hub Operations team to ensure a smooth delivery to clients. About you: In order to succeed in this role, you will join us with: Previous work experience within an administrative role within Events. Experience in using databases for data entry/finding information. Previous experience in a busy office environment. Previous experience of working within events within a large organisation, preferably one in which the public have access to. Experience of working in a team and independently. Knowledge of data protection act and other statutory requirements. Experience of health and safety related to events Experience of working in a hospitality service Experienced user of standard software packages e.g. Word, Excel, Access and Outlook.
