Purpose of the Role
Sodexo provides Professional Property Services that scale the full breadth of Facility and Property management, including Asset Management, Life Cycle Works and Compliance, Estates Management, Lease Management, Construction and Project/Change Management, Supply Chain Management, and Finance and Cost Management.
Our contracting portfolio comprises a mixture of core contracts and internal and external consultancy services. This balance ensures our internally provided services benefit from the competitive edge generated from external exposure.
As with all service provisions, change is constant, meaning we must be strategically structured to anticipate and enable it through a controlled programme lifecycle. Sodexo adopts industry standards to manage programmes of change, defining their approach through a globally applied Project Management Framework (PMF) as a foundation to drive consistent and proven project success.
PPS requires our Portfolio, Programme and Project management office (P3M) to facilitate all inward and outward facing change requirements as well as an independent offering of related services that can be procured as a standalone product. Variable flows of demand for change add complexity to our structure; reactive call-offs and strategic (planned) activity require agile modelling, controls, and management to facilitate what can be a make-or-break business requirement.
Effective management of each programme is essential to manage senior stakeholders and implement high-level programme initiatives. The successful delivery of these programmes is key to maintaining the commercial success and building the reputation of PPS. This role (PMO) is key to project assurance, control, and success.
Responsibilities
* Initiation or business case development support (administrative support to PMs)
* Organise programs and controls in accordance with the project manager's directions.
* Produce accurate and timely reporting of programme status throughout its life cycle.
* Day-to-day facilitation of project governance, including meetings, inputs, outputs, reports, and diary planning.
* Responsible (under the project manager) for the successful management of all project controls.
* Manage RAID (Risk, Action, Issue & Decision) logs, including creation and maintenance.
* Maintain Document Index logs, including creation and maintenance.
* Create, share, maintain, and archive project teams and filing structures.
* Governance planning, including diary invites, pack creation, distribution, action taking, and logging.
* Maintain relationships and expectations of all key stakeholders at programme and project levels.
* Publish programme-related communications, documentation, and processes.
* Facilitate change requests in accordance with the contract and project teams.
* Facilitate quality reviews with the project manager to assess programme strengths and identify areas for improvement.
* Identify and escalate any risk which may impact SDX (Information, reputation, legal, contractual, financial).
* Ensure that Sodexo PMF processes are adhered to and that all mandatory elements are evidencable.
* Form and approve case studies upon successful completion and sign-off of each programme.
