Role Description
Pro Sports Medicine is looking to recruit an Administrative Assistant to join our fast-growing physiotherapy and sports medicine clinic. The ideal candidate is efficient and organised, detail-oriented, and skilled in developing and maintaining workplace and customer relationships.
This is a part-time, on-site role for an Administrative Assistant located in Cardiff. The Administrative Assistant will be responsible for performing clerical duties, supporting executive staff with administrative tasks, answering and managing phone calls, and ensuring effective communication within the office. The role requires a high level of organization and attention to detail to maintain smooth office operations.
Administrative Assistant Job Responsibilities:
1. Provide administrative support to the practice manager to ensure efficient clinic operations.
2. Maintain accurate patient data on our software system, Cliniko.
3. Answer phone calls and direct callers to appropriate personnel, schedule appointments, and handle invoicing for patients and third parties (insurance companies).
4. Respond to emails and other digital queries and correspondence.
5. Manage calendars for clinicians.
6. Operate and maintain office equipment, including printers and scanners.
7. Work closely with other administrative staff and support other colleagues as needed.
8. Handle sensitive information with discretion to maintain confidentiality and security and ensure compliance with privacy policies and regulations.
9. Present a positive and professional image for the organisation.
Work Hours:
Contracted hours 15-20 hours per week, with pro-rata holiday pay. Salary £11.50 per hour.
Qualifications and Skills:
1. Digital literacy.
2. Familiarity with standard office platforms, such as Microsoft Word.
3. Data management and entry skills, including the ability to maintain filing systems.
4. Time management, multitasking, and flexibility.
5. Organisational skills.
6. Accuracy and attention to detail.
7. Supply management and inventory control.
8. Interpersonal skills, professional and courteous demeanor, excellent office and phone etiquette.
9. Ability to work well independently and in collaboration with others.
Previous Experience:
Past administrative experience in an office/clinic setting.
