Hours: Flexible hours, 25-40 hours per week
Salary: Commensurate with experience, pro-rata range: £30k- £40k p/a.

About Aegis Energy:
Aegis Energy is accelerating the decarbonisation of the UK road freight sector. By developing a network of refuelling and recharging stations that can serve electricity, HVO, renewable natural gas and hydrogen to vans and Heavy Goods Vehicles (‘HGVs’) across the UK, we will enable critical supply chains to decarbonise and lead to cleaner air in our cities and communities.
To respond to the climate emergency and meet our Net Zero commitments, the UK requires a rapid roll-out of renewable infrastructure that can serve low-carbon and zero-emission energy to commercial vehicles. Early adoption of BEV, HVO and Bio-Compressed Natural Gas (Bio-CNG) vehicles has begun among major logistics providers such as Amazon, Waitrose / John Lewis, Warburtons, DHL, DPD and the Royal Mail. Bio-CNG, HVO, BEV, and Hydrogen Fuel Cell Electric Vehicle (FCEV) technology for vans and HGVs can deliver CO2e savings exceeding 90%.
Government policy and the climate crisis has energised the logistics industry into action, and the time is right for Aegis to help catalyse the shift of commercial vehicles to sustainable energy today.
About the Role:
We are seeking a highly organised and proactive Part-Time Executive Assistant / Personal Assistant (EA/PA) to provide comprehensive support to the CEO, and occasional support to two other Co-Founders of the Company. This role requires a friendly, detail-oriented and self-motivated professional who can handle administrative tasks efficiently while maintaining a high level of confidentiality. The ideal candidate will be a resourceful problem solver with excellent communication skills.
Key Responsibilities:
* Manage and coordinate calendars, appointments, and meetings for CEO-managed company-wide calendars, including for the CEO, Co-Founders, Board and Senior Leadership Team.
* Arrange travel plans, itineraries, and accommodation for the CEO, and provide support to other administration staff to ensure good organisation of major company events.
* Using Monday.com cloud-based project management software, set up, update and provide basic management of the CEO’s business projects which cover: Innovation, HR and Legal tasks, including ‘governance’ (board-level) activities.
* Support the administration, procurement and reporting associated with events and communications for the CEO’s projects for the Innovation, HR and Legal business units.
* Prepare simple reports, presentations, and other documentation as required.
* Conduct internet and Chat-GPT research and compile information on CEO-requested topics.
* Organise and maintain IT system files, records, and confidential documents.
* Process the CEO and Co-Founders' monthly receipts in accordance with Company procedure.
* Assist with personal tasks, such as scheduling appointments, reservations, and other errands.
* Liaise with internal and external stakeholders in a professional manner.
* Provide general administrative support as needed.
Key Requirements:
* Proven experience as an Executive Assistant, Personal Assistant, or similar role.
* Strong organisational and time management skills.
* Excellent verbal and written communication abilities.
* Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and Adobe Acrobat.
* Experience with Monday.com or similar project management software an advantage (or willingness to learn and to become proficient with the cloud software within 3 months).
* Ability to multitask and prioritise work effectively.
* High level of discretion and confidentiality.
* Strong attention to detail and problem-solving skills.
* Ability to work independently and adapt to a dynamic work environment.
