My client is a hugely exciting, start-up, female founded investment management firm. With a focus on investment in sustainable infrastructure, the firm aims to unlock key investment to drive climate transition and address inequality. The firm has just secured funding, so we are looking for a candidate with a proactive attitude and bags of initiative to come in and hit the ground running as Office Manager & Team Assistant. This role is very much a jack of all trades position; from some PA duties to Office Management, marketing support, and HR support – this role has it all.
Duties will include but are not limited to:
General Admin support:
* Managing calendars, scheduling appointments
* Coordinate with internal and external stakeholders
* Key point person for meetings/events/correspondence/chasing etc.
* Arranging travel, itineraries, accommodation, flights, transport etc.
* Organising/coordinating registrations with specialist press/newspapers/agencies etc.
Office Operations:
* Ordering and managing office supplies, organising IT ordering/set up with Abacus, coordinating maintenance and repairs with Landmark (such as AC), managing incoming and outgoing mail, and maintaining office equipment (such as printers etc.)
HR Support:
* Manage HR system with leave and employee updates
* Manage the onboarding process for new joiners
* Manage the removal process for leavers
* Liaise with Landmark on any changes to health and safety/fire policies
Marketing Support:
* Oversight/management of website and LinkedIn
* Uploading press articles/events etc.
* Manage and create multimedia content (videos, webinars, podcasts etc.)
* Ensure branding consistency across platforms
Financial Support:
* Assist with basic financial tasks such as tracking and recording invoices, inputting into Xero/Pleo, tracking expenses, preparing expense reports, and coordinating with the finance department
Regular Meetings and Presentations:
* Prepare meeting agendas, assist in finalising, preparing and distributing documents, and file board packs in SharePoint
