THE IDEAL CANDIDATE
The ideal candidate will play a key role in supporting the overall delivery of the single-family home model, aligning your efforts with company objectives, metrics, and policies. We need a technically minded individual who can assist with phased handovers and escalated defects and maintenance.
Additionally, you will collaborate closely with the Development team to facilitate a seamless handover of neighbourhoods from the mobilisation stage to operations. Through your effective management of these responsibilities, you will contribute significantly to maintaining the properties, enhancing resident satisfaction, and improving overall operational efficiency.
Based in our Harrogate office or visiting the neighbourhoods, you will report into the Operations Director and work closely with the marketing and leasing teams.
JOB DESCRIPTION
Responsibilities include:
1. Mobilisation
• Set up the processes to enable a smooth handover from the house builder
• Regularly travel to site for handovers of the homes
• Ensure units are clean, well maintained and meet quality standards
• Escalate any necessary snags and issues identified during handover
• Establish clear and concise systems to measure and manage the process
• Establish and maintain transparent lines of communication with other departments
2. Defects Resolution:
• Supporting the Customer Service team during escalations of defects
• Providing the CSA with technical insight if required when they are dealing with resident complaints
• Oversee the defects process, ensuring prompt resolution within service level agreements.
3. Responsive Maintenance Oversight:
• Collaborate with teams to address maintenance issues promptly.
• Technically support the team in the handling of difficult repair issues and visit site as required
• Conduct inventories and mid-tenancy inspections, arranging repairs as necessary
• Oversee soft and hard FM partners, identifying areas for improvement.
• Monitor work order proposals and ensure compliance with approval processes
4. Legal Compliance:
• Stay updated on legislation, statutory health and safety inspections
• Conduct regular inspections and health and safety audits, ensuring compliance.
• Handle utility and council tax invoices
• Implement recommendations from health and safety assessments and audits.
• Ensure compliance with all relevant laws and regulations.

EXPERIENCE AND SKILLS
• Solid background in property/facilities management
• University degree or relevant industry training (Ideally IOSH as a minimum) with regular CPD.
• Confident in setting up systems and processes to support the delivery model
• Intermediate proficiency in Microsoft Word, Excel, and Outlook - experience using property management software is preferred.
• Professional verbal and written communication skills, problem-solving skills, and an ability to handle advanced conversations in a professional and customer-focused manner.
• Able to demonstrate an organized and professional approach and ability to prioritize.
• Driving Licence required due to ad hoc travel to the neighbourhoods
