About the Role
We are looking for a HR Assistant to join our dynamic People & Culture team. The ideal candidate would have strong administration experience, excellent communication skills and the ability to get stuck in when peak demands hit the team. The candidate will deliver the basics to a high standard as we continue to grow, while also helping to shape and improve our processes so we get the most out of our in-house tools, external systems, and how they all connect.
Working Pattern: Monday - Friday: 8:45am - 5:30pm. Location: Office based in Luton.
Day to Day Responsibilities:
* Administration of the onboarding process, including writing offer letters and contracts, co-ordinating pre-employment checks such as DBS and Right to work checks.
* Administration and co-ordination of the offboarding process.
* Co-ordination of monthly new joiner inductions, ensuring that rooms and presenters are scheduled accordingly.
* Assisting with ad-hoc training administration tasks, such as recording and documenting training.
* Reviewing probation process (completions and extensions) and supporting managers with reviews.
* Absence management, including reporting, assisting with early stage absence intervention and reviewing absence management in line with our absence policy.
* Ensuring accuracy in our data records within the Hibob system, and working with all business units to keep this up to date on a daily, weekly and monthly basis.
* Assisting with employee engagement surveys and reviewing data within our performance management system.
* Supporting our Employee Relation Specialists with administration of ER processes, such as note taking and documenting, and recording necessary outcomes.
* Reporting monthly on non-completion of employee returns (e.g. incomplete mileage forms).
* Supporting with annual P&C processes, such as employee surveys and performance reviews.
Requirements:
* Prior experience in a HR administration position is preferred, however relevant administration experience can also be considered.
* Ability to demonstrate strong organisational skills and a process driven approach to tasks.
* Proficiency in using Microsoft Packages, such as Word, Excel (Mail merge, Formula writing) and PowerPoint.
* Strong administrative capabilities, particularly in managing Outlook and email/calendar organisation.
* CIPD Level 5 is desirable but not essential.
* Familiarity with using HiBob or another HR system is desirable but not essential.
