Job Summary
Provide administration and assistance with co-ordination of clinics, provide clerical support to the Fertility Team.
Responsible for organising own work-load and monitoring/assisting in the overall smooth running of clinics. Monitoring clinic waiting lists and pathways.
Undertake high level PAS/CSC input and informatics.
Support Consultant PA inclusive of transcribing of clinical consultations.
Main duties of the job
1. Provide a confidential, administrative and clerical service to the Fertility team.
2. Carry out general reception duties, including checking in/out patients (face to face and virtually), using NHS Attend Anywhere.
3. Providing a first point of contact for patient accessing services via TeleQ.
4. Provide a high level of Patient Administration System assistance to clinic, including attending, coding of outcomes and disposals, data collection, checking the NHS central spine GP system.
5. Providing audio typing and word processing support to Consultants PA.
6. Support other areas of the service, covering staff leave and sickness.
7. Maintain confidentiality when dealing with all forms of information.
8. Maintain office tidiness in all areas, adhering to safety around the office at all times.
9. Providing administrative support for Andrology Services.
10. Communication between hospital and external bodies.
11. Liaise with consultants and senior nursing staff regarding clinics and support requirements.
12. Responsible for maintaining an organised case-note library system specific to the Assisted Conception Unit.
13. Preparation of patient notes for use by consultant/nurse clinics including maintenance and up to date information, including obtaining reports, results, referrals, information from other hospitals where applicable, GP surgeries. Embryology notes from satellite hospitals.
14. Accessing information from other computer systems used at the Trust including EPR, HIS and FFP a system specific to online patient referrals for Fertility Fusion.
15. Cancellation/rearranging patient appointments to maintain patient flow. Maintaining where possible the standards of practice for the 18 weeks pathway.
16. Maintain and collate patient information required at MDT for use by multidisciplinary team.
Person Specification
Qualifications Essential
* Good standard of education including 5 GCSE's or equivalent.
* ECDL or equivalent knowledge and experience.
* Audio typing.
Experience Essential
* Previous admin experience within NHS.
* Experience of working with the public.
* Experience of using Patient Centre (CSC), Electronic Patient Record (EPR) Central spine, Choose & Book (CAB).
* Experience of office procedure.
* Previous experience of working within a multi-disciplinary team.
Skills Essential
* Well developed organisational skills with ability to prioritise workload.
* Excellent verbal communication.
* Excellent telephone manner.
