Primary Purpose of the Position
The Commercial Assistant supports the commercial team by managing administrative tasks, client communications, and assisting with sales processes. This role requires excellent organisational, communication, and problem-solving skills, ensuring smooth operations and helping the company achieve its sales and commercial objectives. The role will report directly to the Commercial Manager.
Main Duties of the Position
Administrative Support:
* Handle day-to-day administrative tasks, including filing, data entry, and maintaining records.
* Complete PQQs and other necessary documentation.
* Assist with preparing tender submissions.
* Assist with the coordination of meetings, travel arrangements, and appointments for the commercial team.
Client Relations:
* Serve as the primary point of contact for client enquiries, resolving issues in a timely and professional manner.
* Prepare quotations, follow up on leads, and maintain client databases.
* Support the commercial team with client communications, sending promotional materials, and following up on sales leads.
Reporting & Analysis:
* Assist in generating and distributing sales reports, tracking sales targets, and analysing market trends.
* Help maintain and update pricing, contract terms, and product information in internal systems.
Coordination with Other Departments:
* Work closely with finance, technical, and marketing teams to ensure timely delivery of services.
* Ensure all necessary documentation and information is available for contract negotiations and client meetings.
* Assist with sales presentations and proposal development.
* Support the commercial team during trade shows, events, and client visits.
Skills and Knowledge
* Strong organisational skills and attention to detail.
* Excellent written and verbal communication abilities.
* Proficiency in Microsoft Office (Word, Excel, PowerPoint) and CRM systems.
* Experience with managing schedules, coordinating meetings, and handling office tasks.
* Ability to multitask and work under pressure in a fast-paced environment.
* Basic understanding of commercial processes such as sales orders, contracts, and inventory management.
* Client-oriented mindset with strong problem-solving abilities.
* A team player, willing to support peers as well as senior management.
* Able to work self-sufficiently in a busy and demanding environment.
* Emotional intelligence - able to overcome challenges and diffuse conflict.
* Proactive and outgoing.
* Energetic and enthusiastic.
* Previous roles that required taking complex instructions and resolving operational issues.
* While formal experience is beneficial, on-the-job training is provided.

Full Time
Location: Cardiff
Experience: 1-3 years of experience in administrative, sales, or customer service roles.
