Job Overview:
We are seeking an experienced, proactive and highly organised Office Manager to support virtual and physical operations of Enterprise For Life, X-Forces Enterprise and the Soldiering On Awards. This role involves a range of management and administrative tasks to ensure smooth day-to-day activities, efficient record-keeping, and effective communication across teams. The ideal candidate will have strong attention to detail, excellent organisational skills, and the ability to manage multiple priorities in a dynamic environment.
Key Responsibilities:
Virtual and Physical Office Management
* Ensure working environments are suitably managed.
* Own and manage the review and audit of the company policies and procedures.
* Manage all health, safety and environment aspects and implications.
Meetings & Event Coordination:
* Schedule and coordinate meetings, including sending invites and managing diaries.
* Prepare meeting agendas, take accurate minutes, and distribute follow-up actions.
* Support event logistics, including venue bookings, attendee coordination, and materials preparation.
* Assist in organising XFE and Soldiering On Awards events and engagement activities.
Research & Communications:
* Conduct research to support programme delivery and strategic initiatives.
* Lead and/or assist in drafting reports, and communications for internal and external stakeholders.
* Support social media and website content updates where necessary.
Stakeholder & Project Support:
* Liaise with partners, beneficiaries, and key stakeholders to provide administrative support.
* Assist with tracking and reporting on projects progress and ensuring deadlines are met.
* Support grant and funding applications with relevant data and documentation.
Skills & Experience:
* Previous administrative experience in a similar role.
* Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook) and CRM systems.
* Strong attention to detail and ability to manage multiple tasks effectively.
* Excellent written and verbal communication skills.
* Ability to work independently and as part of a team.
* Experience in the charity or social enterprise sector (desirable but not essential).
Administrative Support:
* Maintain and update CRM systems to ensure accurate data management.
* Process and manage email, responding to enquiries where appropriate.
* Organise and maintain digital and physical filing systems.
* Assist in preparing reports, presentations, and documentation.
Additional Information:
* Hybrid working arrangements to be negotiated.
* Some travel will be required for meetings and events.
