Position Description: The project coordinator provides crucial support to the sales team by handling administrative tasks and ensuring smooth operations within the sales department. This role involves assisting with order processing, client communications, scheduling, data entry, and general office tasks while contributing to the success of the sales team by keeping everything organized and running efficiently.
We are looking for someone with the right attitude and drive, not necessarily all of the needed skillsets on day one. We invest in our team members and are committed to providing the training and resources necessary for the right person.
Key Responsibilities:
* Telephone & Customer Service: Answer all incoming telephone calls promptly, greet walk-in customers, and assist with inquiries, providing professional and friendly service.
* Supply Management: Order sign materials, products, and office supplies in order to maintain inventory levels to ensure efficient order completion.
* Scheduling: Build and maintain the installation schedule for all projects, ensuring all deadlines are met and resources are allocated efficiently.
* Schedule Troubleshooting: Proactively troubleshoot scheduling conflicts and project delays, adjusting timelines and resources as needed to ensure on-time delivery.
* Documentation: Enter installation documents and project-related information for easy access and collaboration with the team.
* POS Reconciliation: Reconcile the POS system daily to ensure all orders are accurately documented and payments are processed correctly.
* Additional Administrative Tasks: Perform other relevant administrative tasks as needed to support the smooth execution of projects and business operations.
Requirements:
* Previous experience in administrative support or sales assistant roles.
* Familiarity with CRM software and Microsoft Office Suite (Excel, PowerPoint, Word, Outlook).
* Excellent customer service and communication skills, both written and verbal.
* Ability to work well within a team and contribute to a positive work environment.
* Strong problem-solving skills and ability to meet deadlines.
