Lead Administrator – Course Administration Management
UK Defence Academy
Full Time, Permanent (37 hours per week)
Serco have an exciting opportunity for an experienced Administrator to join our team based at the Defence Academy in Shrivenham, Swindon. The Course Administration department is currently working through a transformation project to enhance service delivery, we are developing a holistic approach across the team to support the success of the project. The Lead Administrators have a key role in this project, involved in the promotion, planning and delivery across the Defence Academy.
This is an exciting customer facing role, working in a dynamic, high-performance team within The Joint Services Command and Staff College (JSCSC).
You will be working closely with the military staff and within a small team of Administrators, you will often be the first point of contact for our course members and staff via various communication channels; face to face, email or via telephone.
You will be taking on a wide range of responsibilities and be expected to work independently on occasions but also with the wider team to ensure customer satisfaction is achieved at all times.
Serco at the Defence Academy provides Facilities Management across all aspects of the site including Estates, Logistics, various Supporting Services, together with Cleaning, Catering and Waste Management through ESS.
Duties for the role:
* Taking a pro-active role within the department and to be fully conversant with the course aims and programme.
* Be able to perform the Lead Administrator role effectively and efficiently.
* Processing Course Members/arrival/journey through the course/departure from Shrivenham Station, ensuring associated registers are accurately maintained.
* Processing the on and off boarding and embedding for Course Members
* Travel booking and administration, in conjunction with the Travel Cell.
* Course Administration support to Directing Staff within the department.
* Maintenance of course communication and documents
* Communication with internal and external stakeholders
* Updating Course Member career profile with competencies at course completion
* Liaising with external military and civilian institutions to gain relevant data.
* After course work such as reporting and associated administrative tasks on various systems
* Cross skilling to support across the wider team and department.
* Mentoring and coaching of new starters
* Management of Work Instructions
* The ability to work as part of a larger team and to work alone using own initiative.
What you need to do the job:
* GCSE’s (A-C) or equivalent in English and Maths
* Sound understanding of GDPR (General Data Protection Regulation)
* Able to use a variety of communication methods (spoken, written, behaviour)
* Must be methodical, have proven organisational skills and able to work under pressure
* Problem solving skills are a must in this role
* It is essential that the successful candidate is PC literate, with a good level of experience in MS Office including Outlook, Word, Excel
* You will have to gain enhanced clearance within the first 3 months of employment. Serco will arrange this on your behalf.
