Office & Accounts Manager Location: Outskirts of Kings Lynn I am partnered with an international organisation who is seeking a highly organized and proactive Office & Accounts Manager to oversee daily office operations, health and safety compliance, and financial administrative support. This role is essential in ensuring smooth business operations, managing site facilities, and assisting the Finance Manager with accounts-related tasks. The position also involves collaboration with the Customer Service Team (CST) to provide seamless service to the business. Oversee office and site facilities, ensuring a clean, functional, and well-maintained work environment. Manage office supplies, amenities, and procurement processes. Organize team and management meetings, including agenda preparation and minute-taking. Manage the company’s information inbox and handle correspondence. Coordinate with IT, telephone, and printing service providers to ensure operational efficiency. Maintain an IT equipment log, arrange new purchases, and dispose of obsolete equipment in coordination with the Finance Manager. Ensure compliance with QMS ISO 9001 and maintain other company accreditations (e.g., Construction Line, Achilles, Avetta, Safe Contractor, Planet Mark, Ariba). Work with project teams to ensure all compliance documentation is up to date. Keep up to date with legislative changes regarding H&S and risk management, recommending process improvements as needed. Perform regular site inspections and audits to ensure proper maintenance and safety compliance. Accounts & Financial Support Manage general accounts administration and filing. Assist with customer sales invoicing as required. Input financial data into the ERP/Xero accounts system, maintaining accuracy and efficiency. Support the Finance Manager in optimizing accounts-related systems and processes. Manage the accounts inbox and maintain subcontractor records for Pre-Qualification Questionnaires (PQQs). Assist with ad-hoc finance tasks as directed by the Finance Manager. Human Resources Administration Support on-boarding and off-boarding processes, ensuring a smooth transition for employees. Coordinate equipment allocation, access permissions, and documentation for new hires in collaboration with the People & Culture Manager. Provide administrative support for HR-related tasks as needed. Strong understanding of confidentiality in the workplace. Excellent organizational and multitasking skills. Proactive mindset with the ability to take initiative. Strong communication and interpersonal skills, both written and verbal. Experience managing company accreditations (ISO 9001, ISO 14001, etc.). Knowledge of health and safety regulations. Desirable: Experience using Xero or similar finance software. Minute-taking experience. Background in facilities management. NE BOSH General Certificate or IOSH Managing Safely qualification.
