Position Overview
RR Accountants is seeking a diligent, detail-oriented Office Manager to oversee and streamline our office operations. This role is vital to our team’s productivity, ensuring the smooth running of daily operations, supporting staff, and creating a welcoming atmosphere for clients. The ideal candidate will be proactive, well-organized, and capable of handling diverse administrative and office management tasks.
Key Responsibilities
-Office Operations & Administration:
Manage day-to-day office functions, ensuring a productive and organized
workspace.
Maintain office supplies, equipment, and resources, handling orders as
necessary.
Liaise with vendors, service providers, and contractors to ensure the office is
maintained to a high standard.
-Team Coordination & Support:
Coordinate staff schedules, assist with meeting preparations, and organize team
events.
Oversee onboarding processes for new employees, including paperwork and
orientation.
Foster clear communication between management and staff, addressing minor
concerns and inquiries.
-Client Service & Interaction:
Serve as the first point of contact for clients, handling inquiries, calls, and emails
professionally.
Coordinate client appointments and prepare the office to create a welcoming
environment.
Ensure client files and records are well-organized, maintaining confidentiality at
all times.
-Financial & Administrative Support:
Handle basic bookkeeping tasks, such as invoicing, expense tracking, and
managing petty cash.
Support accountants with administrative tasks, including filing, data entry, and
document preparation.
Ensure compliance with office policies, industry standards, and internal
procedures.
-Process Optimization & Compliance:
Identify and implement process improvements to enhance office efficiency and
productivity.
Enforce office policies and procedures to ensure compliance with regulatory and
professional standards.
Qualifications
- Education: Bachelor’s degree in Business Administration, Office Management, or
a related field (or equivalent experience).
- Experience: Minimum of 2-3 years in an Office Manager or similar administrative
role, ideally within the services industry.
Skills:
- Strong organizational skills with attention to detail and multitasking ability.
- Excellent communication and interpersonal skills to engage with both clients and
team members.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with
office management software.
- Basic understanding of bookkeeping and accounting practices is an asset.
- Ability to work both independently and collaboratively in a fast-paced environment.
