Admin Assistant, £13.73 per hour, Ballymena.
Your new company
A large public sector organisation based in Ballymena.
Your new role
You will provide a wide range of administrative support service to the Regeneration & Strategic Projects team with regard to all aspects of the service area.
1. Provision of general secretarial/administrative support to assigned senior staff including maintaining diaries and scheduling meetings, screening telephone calls and emails, responding to routine internal correspondence, and preparing outgoing mail.
2. Word processing, maintenance of spreadsheets and databases, PowerPoint presentations, photocopying, scanning, localised filing systems, and dealing with general inquiries from the public.
3. Attend meetings, as required, to take notes, compile and agree minutes, noting attendance, and following up to identify/prioritise and action matters which require attention.
4. Coordinate courses/seminars and take lead responsibility for booking venues/accommodation, arranging catering/equipment/travel, and managing delegate registration.
5. Support the team to comply with financial systems, e.g. processing orders, coding invoices, setting up new codes, and ensuring invoices are processed by payment deadlines.
6. Deal with queries from the public and relevant stakeholders regarding areas of service delivery, including handling complaints in line with the complaints policy.
7. Assist with marketing and promotional campaigns relating to the department.
What you'll need to succeed
1. 5 GCSEs including English Language and Maths (grade C or above) or equivalent qualifications to demonstrate literacy and numeracy.
2. The ability to efficiently deal with large volumes of work and successfully prioritise competing demands.
3. A qualification demonstrating competency in working with office technology (e.g., Word Processing or Typewriting).
4. Working experience with Microsoft Office applications including Word, Excel, PowerPoint, and Outlook.
5. A full current driving licence valid in the UK and access to a vehicle OR access to a form of transport that enables you to carry out the duties of the post.
