Buying Admin Assistant - Outsiders Store
We are on the lookout for an Admin Assistant to join the Outsiders’ Buying and Merchandising team. Responsible to the Buyer and Merchandiser, you will be a key part of a small team that works across the planning, ordering and management of the Outsiders Store product range.
The primary function of the role is data entry and management; to take ownership of all information in our systems and ensure it is up to date and accurate across the various platforms and programs used. The role is full-time and based in the relaxed, spacious working environment of our central Manchester HQ which enjoys good transport accessibility and onsite parking.
Key responsibilities include:
1. Take responsibility for data accuracy; from initial creation and entry to managing updates and/or corrections throughout the season and liaising with stores and warehouse teams to action amendments.
2. Conduct all order reconciliations between orders submitted and order confirmations received.
3. Carry out checks for any price queries, liaising with brands to resolve where needed.
4. Transfer orders from brand-supplied data formats into internal formats.
5. Create purchase orders on internal systems and manage the organisation and communication of the purchase order tracker.
6. Help the Buyer and Merchandiser with the Seasonal stock allocation set up.
7. Monitor performance of core lines and propose actions to Buyer / Merchandiser.
8. Assist the Merchandiser with arranging shipments.
9. Assist the Merchandiser to action Markdowns on internal systems.
10. Prepare order sheets across specified brands / categories for review and sign off by the Buyer.
11. Manage the calendar for launch product – ensuring stock is delivered in good time and that all relevant teams are aware of timelines.
12. Support Merchandiser with reporting and develop understanding of all reports.
You should be:
1. Knowledgeable on the outdoor and lifestyle markets, the relevant brands and activities.
2. Highly organised and detail orientated.
3. Proficient in numeracy, literacy, and data analysis, with strong spelling and grammar skills.
4. Comfortable working with Microsoft 365, particularly Excel.
5. Quick to learn digital systems as you will interact with a variety from the outset.
6. Able to communicate very well, both in writing and verbally.
