Job Summary
We are seeking a dedicated and detail-oriented Operation Associate to join our team. The ideal candidate will play a crucial role in ensuring the smooth operation of our office by providing administrative support, managing data entry tasks, and maintaining organisational systems. This position requires proficiency in various software applications and strong clerical skills to facilitate effective communication and workflow within the organisation.
Duties
1. Provide comprehensive administrative support, including managing schedules, coordinating meetings, and handling correspondence.
2. Utilise Google Suite and QuickBooks for data entry, financial tracking, and reporting.
3. Maintain organised filing systems, both electronic and physical, to ensure easy access to important documents.
4. Perform clerical tasks such as typing reports, preparing presentations, and managing office supplies.
5. Demonstrate excellent phone etiquette when interacting with clients and colleagues, ensuring professional communication at all times.
6. Assist in the development of operational procedures to enhance efficiency within the office environment.
7. Collaborate with team members to identify areas for improvement and implement solutions that align with company goals.
Experience
1. Proven experience in an administrative or operational role is preferred.
2. Proficiency in Google Suite applications (Docs, Sheets, Drive) is essential.
3. Familiarity with QuickBooks or similar accounting software is advantageous.
4. Strong organisational skills with the ability to manage multiple tasks simultaneously while maintaining attention to detail.
5. Excellent data entry skills with a focus on accuracy and efficiency.
6. Effective communication skills, both written and verbal, complemented by a professional phone manner.
7. A proactive approach to problem-solving and a willingness to learn new skills as required.
