We are seeking a highly organised and proactive Office Manager for a tech startup in Richmond. The ideal candidate will have previous experience managing office and administrative tasks for a fast-paced or start-up organisation. This is a varied role where you will be the go-to person for all office related matters. You will also be doing some executive assistant work for senior management, assisting them with meetings, travel and scheduling. Finally, you will also support with some events. This is a great opportunity for someone highly organised to join a fast-moving company where they can get stuck into a wide variety of work. What you’ll be doing - Ensuring that office procedures are efficient and aligned with company policies, including scheduling and maintaining office calendars -Handling incoming and outgoing deliveries, emails, and phone calls. Acting as a liaison between staff, management, and clients. - Organising and maintaining files, records, and documents, both digital and physical, to ensure information is easily accessible. - Monitoring and ordering office supplies such as stationery, equipment, and furniture to ensure the office is well-stocked. - Managing relationships with service providers (cleaning, IT, maintenance) and negotiating contracts with vendors. - Managing executive calendars, scheduling meetings, coordinating travel arrangements and booking accommodation - Preparing and editing correspondence, reports, and presentations - Preparing agendas, organising materials, and taking meeting minutes - Organising and coordinating internal and external meetings, including logistics and materials - Assisting with special projects and initiatives as needed - Planning and coordinating events, including client meetings, board meetings, or team gatherings - Handle office budgets, including tracking expenses for office activities, supplies, and events, while maintaining cost efficiency. - Support onboarding of new employees, including setting up workstations, helping with IT equipment, and ensuring a smooth integration into the office environment. What we are looking for Proven experience in a similar role (ideally within a startup) Exceptional skills in calendar management and event coordination Strong organisational and multitasking skills with an eye for detail Excellent written and verbal communication skills Tech savvy - proficiency in Microsoft Office Suite (Word, Excel, Outlook) but also used to other tech tools Ability to work in a rapidly growing organisation and manage multiple priorities Experience coordinating both virtual and in-person events Familiarity with CRM or scheduling software
